General Description

The Intake Specialist is responsible for assessing and accepting case referrals and coordinating the assignment of cases with all Regional Supervisors. The Intake Specialist will manage nationwide referral acceptance notifications and requests made by ORR for emergency and priority cases. The Intake Specialist serves as the central point of contact for all incoming communication notifications, case transfer requests/acceptances, case updates, case assignments, level changes, case closures and notification of concerns. The Intake Specialist ensures the data entry of case updates is made timely on the internal database and cross checks internal systems for quality assurance. Additionally, the Intake Specialist ensures compliance requirements involving notices of concern are documented, notification to appropriate stakeholders is made and reports are uploaded to the portal.

Minimum Qualifications

  • Must have a High School Diploma or GED Equivalent.
  • One year experience working with children and youth, case management, or child welfare services.
  • Experience working in a fast-paced, adapting, and customer-focused environment.
  • Proficiency in Microsoft Office and data entry systems.
  • Fluent in English and Spanish (verbal and written).
  • Available to work on weekends and flexible working hours to support the program needs.
  • A valid driver's license to travel for meetings.

Preferred Qualifications

  • Bachelor’s Degree in Social Services or relevant field.
  • A minimum of 3 years’ experience in childcare or residential care for adolescents.

What You’ll Be Doing

  • Accept referrals and ensure proper assessment based on priority, criteria, demographic information, service level, and staffing availability.
  • Will assign referrals, and recommend internal case transfers factoring staff availability, caseloads, geographic areas, and cases considered for level changes and impending closures.
  • Maintain accurate intake and reporting logs and assist in tracking and maintaining reports and information related to abuse and neglect.
  • Will communicate with care provider programs on referral acceptances and make appointments to interview child or sponsor, as needed.
  • Conducts data entry of referral acceptances in the US internal database and evaluates UC portal for accuracy.
  • Maintains accuracy of electronic case files and upload documents into the database and portal.
  • Receive, process, and respond to incoming communication of all field staff, notifications, case transfer requests/acceptance, case updates, case assignments, level changes, case closures and notification of concerns.
  • Will submit notification of concerns that meet ORR and licensing reporting criteria within the required timeframe and notify appropriate stakeholders.
  • Will utilize the US internal database, UC Portal, and evaluate the ORR TKPI Tableau system for mapping areas of need, waitlists and track pending referrals when strategizing case acceptances.
  • May participate in interdepartmental project groups or task forces to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain specific level of knowledge pertaining to new developments, new task efforts, contract awards, and new policy requirements.
  • Maintain a flexible schedule (evening, weekends, on-call) and travel as required for local, state, and national team meetings.
  • Related duties as assigned and may be revised as needed to meet program needs.
  • Attend all training, departmental and program meetings to ensure that up-to-date information is received and/or information about policy changes or practice is adhered to.
  • Able to handle sensitive and confidential information with discretion
