Role Specifics

Position: Chief Executive Assistant

Location: Fully remote (U.S.-based time zones: EST, CST, MST, PST; all states except New York)

Hours: Must be available to work from 9:00 AM to 5:00 PM in U.S. time zones

Transition: This position will become a 1099 Independent Contractor role as of January 1, 2025

Responsibilities

Proactive Client Support: Anticipate client needs and provide proactive solutions, including managing scheduling conflicts, project management, event planning, and daily operations.

Relationship Building: Foster professional relationships with clients based on trust and reliability, demonstrated through strong communication and presentation skills.

Email Management: Efficiently manage and prioritize client email communications.

Scheduling: Coordinate meetings with internal and external clients, ensuring availability across time zones.

Executive-Level Support: Assist with executive tasks such as booking travel, submitting expense reports, and supporting fundraising efforts and lead generation.

Requirements

Experience: At least 1 year of administrative experience, with a strong understanding of calendar management, travel planning, and startup/venture capital support.

Tools: Proficiency in platforms such as Slack, Google Drive, Microsoft Excel, Salesforce, Canva, CRM platforms, and QuickBooks.

Education: A high school diploma is required; an Associate's degree or higher is preferred for internal promotion opportunities.

Skills: Strong attention to detail, excellent organizational and communication skills, and the ability to work independently in a fast-paced environment.

Technology: Must have a fully functioning mobile phone and computer (not a Chromebook or tablet) for client platforms.

Compensation

Current Role (W-2 Position): $22/hour pre-tax for all plan levels (15 hours/month up to 160 hours/month). You can choose between part-time or full-time! Client plans are split at 55/45, with 55% going to the assistant.

Internal Growth Opportunities: We offer internal managerial positions that are W-2 roles, allowing you to work directly with clients. These positions will be posted as they become available.

Transition to 1099: Effective January 1, 2025, this role will transition to an independent contractor (1099) position, featuring competitive rates and flexible hours. Client plans will be split at 60/40, with 60% going to the assistant.

Overseas Applicants

We welcome candidates stationed overseas, including Japan, as long as they can commit to U.S.-based business hours (9:00 AM - 5:00 PM). Please note that Japan-based hours are rare, and the one-hour response time for Chief Executive Assistants still applies during U.S.-based business hours.
