Under the general supervision of the Payroll Manager, the Payroll Specialist assists with payroll administration and monitors all tasks necessary to achieve the organization’s payroll processing objectives, including interactions with external auditors and state and federal agencies. The Payroll Specialist also performs additional tasks assigned by the Payroll Manager. This role involves planning, coordinating, and supporting payroll department functions. The position requires a detail-oriented individual with strong knowledge of payroll administration and applicable state and federal regulations.

Responsibilities

  • Process end-to-end bi-weekly payroll for multi-state employees, including new hires, terminations, bonuses, and commissions.
  • Audit timekeeping and attendance data while maintaining data integrity.
  • Process wage garnishments, tax levies, and other involuntary court-ordered payments in a timely manner, including reporting to the appropriate state office or jurisdiction.
  • Partner with Finance on payroll-related inquiries, including journal entries, reconciliations, and month-end close.
  • Coordinate with HR Operations, HRIS, and Benefits teams to ensure accurate employee data updates.
  • Ensure payroll compliance with federal, state, and local regulations, including support for year-end processing.
  • Generate payroll reports for audit and compliance purposes.
  • Respond to payroll-related inquiries and identify opportunities for process improvements.
  • Interact with employees and vendors to address and resolve payroll issues proactively.

Qualifications

  • Minimum of 2 years of direct multi-state payroll processing experience.
  • FPC or CPP certification preferred.
  • Accurate and efficient data entry skills.
  • Strong mathematical and communication skills.
  • Highly organized and detail oriented.
  • Knowledge of current payroll-related laws and regulations.
  • Proficiency with payroll software.
  • Ability to maintain confidentiality.
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint).
  • Experience with Salesforce preferred.
  • Strong customer service skills.
  • Demonstrated ability to analyze problems and develop effective solutions.
  • Ability to perform miscellaneous job-related duties as assigned.
  • Able to adapt and excel in a fast-paced, high-growth environment.
