POSITION SUMMARY: The Onboarding Specialist is responsible for managing pre-hire tasks and facilitating new hire onboarding to ensure that new employees and assigned agencies are set up for success from day one. This person leverages exceptional collaboration skills and attention to detail to create a seamless onboarding experience for new hires joining the company. This position owns the accurate and timely onboarding process, which includes initiating and tracking pre-employment contingencies, policy acknowledgments, entry into Workday, and communication with recruiting, new hires, onsite field staff, and hiring managers.

ESSENTIAL RESPONSIBILITIES AND DUTIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:
- Own the onboarding experience; enter new hires into Workday and other systems, update training schedules, and communicate with new hires, trainers, and managers.
- Develop and implement onboarding strategies and programs to ensure a smooth transition for new hires.
- Collaborate with HR and hiring managers to identify onboarding needs and create customized plans.
- Conduct orientation sessions to familiarize new employees with company policies, procedures, and culture.
- Coordinate training sessions and workshops to enhance employee knowledge and skills.
- Provide ongoing support and guidance to new hires throughout their onboarding process.
- Monitor and evaluate the effectiveness of onboarding programs and make recommendations for improvement.
- Stay up-to-date with industry trends and best practices in onboarding.
- Conduct introductory calls with new hires to set expectations and outline the next steps.
- Respond to candidate and new hire inquiries regarding all aspects of the welcome process and provide appropriate follow-up.
- Facilitate the onboarding process in Workday, send welcome communication, schedule all pre-employment contingencies, and ensure all items are completed prior to hire date. Follow up with new hires as necessary.
- Support agency leadership by managing the overflow of new hires and provide continuous engagement with all involved to support an excellent employee experience.
- Travel to agencies for recruiting events may be required.
- Adhere to all company policies and procedures.
- Maintain confidentiality in accordance with 42 CFR Part 2 and all other policies, procedures, and standards of care.
- Other appropriate tasks and special projects as assigned.
Qualifications & Requirements For The Position
- Minimum of one (1) year of onboarding experience.
- Experience in employee engagement, HR programs, sales or customer service preferred.
- Exceptional communication and interpersonal skills.
- Strong organizational and multitasking skills—you love a good checklist.
- Healthcare industry knowledge preferred.
- Demonstrated ability to cultivate and maintain internal and external relationships in an ambiguous and fast paced environment while maintaining focus on execution.
- Proficiency with or the ability to quickly learn the organization's HRIS system (Workday).
- Detail focused and ability to set appropriate priorities amongst multiple competing demands.
- The ability to support an environment that has multiple shifts and significant staffing ramps to support growth in current, and future, geographic locations.
- Must have a valid driver's license and safe driving record.
- Excellent writing skills as well as superb interpersonal and verbal communication skills.
- Excellent organizational abilities.
- Able to effectively work with a team of diverse levels of expertise.
- Quickly and effectively identify and resolve problematic situations.
- Able to handle confidential material in a reliable manner.
- Ability to perform several tasks concurrently with ease and professionalism.
- Ability to effectively prioritize workload in a fast-paced environment.
- Strong attention to detail and accuracy.
- Proficiency with Microsoft Office Suite.
