Job Title: Compliance Administrator
Job Description: Seeking a detail-oriented Compliance Administrator to bolster our organization's regulatory adherence. This role is responsible for the precise management of compliance records, continuous monitoring of processes, and active enforcement of policies. Key duties include providing administrative support, coordinating cross-functional compliance efforts, and contributing to audits and regulatory submissions to ensure robust legal and internal policy compliance. Duties will include, but are not limited to:
Reporting and Documentation:
Manage and maintain all compliance documentation, records, and certifications, ensuring accuracy and accessibility.
Prepare and submit required reports to regulatory agencies, meeting all deadlines.
Support internal and external audits by providing timely and accurate responses to inquiries and requests.
Policy and Procedure Updates:
Recommending and implementing updates to internal policies and procedures to improve compliance and mitigate risks.
Monitoring and Auditing:
Execute routine compliance checks and internal reviews as directed by management.
Establish and maintain an organized filing system for all compliance documentation and policies.
Monitor and track regulatory deadlines and other compliance-related obligations to ensure timely fulfillment.
Training and Education:
Coordinate compliance training sessions and maintain comprehensive records of employee certifications.
Stay abreast of industry regulations, legal requirements, and best practices to ensure continuous compliance.
Collaborate with internal departments to foster a strong compliance culture and ensure understanding of requirements.
Conducting training sessions for employees and management on relevant regulations, policies, and procedures.
Investigations:
Investigating reported compliance issues, violations, or breaches, meticulously gathering evidence, and recommending corrective actions.
Job Requirements:
Minimum 2+ years of experience in compliance, safety, regulatory, or administrative support role, preferably within the utility, energy, or construction industries.
Strong working knowledge of key regulatory agencies such as PHMSA, DOT, OSHA, and relevant state utility commissions.
Proven proficiency in administrative and documentation management, including maintaining accurate records and certifications.
Familiarity with compliance management systems or software (e.g., ISNetworld, EWN, MEA, Avetta).
Exceptional attention to detail and effective time management skills.
Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams and external stakeholders.
Proficiency in Microsoft Office Suite, with advanced skills in Excel and SharePoint.
Ability to work both independently and collaboratively in a dynamic environment.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift to 15 pounds at times.
Must pass a Background Screening (no violations within the last 5 years)
Must pass a pre-employment drug test
