POSITION: ADMINISTRATIVE ASSISTANT

COMPANY: Accountable Custodial & Maintenance, Inc. (ACM)

LOCATION: Western Washington

SCHEDULE: Monday-Friday, 7 am - 5 pm

STATUS: Part-time

Accountable Custodial & Maintenance, Inc. (ACM) has over 25 years of experience providing professional cleaning and maintenance services to government buildings, schools, medical facilities, and construction sites throughout Western Washington. Founded in 1998 as Blind Cleaners Northwest and rebranded in 2008, we've built our reputation on quality service, environmental responsibility, and exceptional customer care. Our comprehensive service offerings include janitorial services, window washing, construction cleaning, carpet cleaning, floor restoration, pressure washing, roof & gutter cleaning, and more.

JOB OVERVIEW:

We are seeking a detail-oriented Administrative Assistant to support our daily operations and contribute to the continued growth of our company. The ideal candidate will be organized, efficient, and possess excellent communication skills to help manage our busy office environment.

KEY RESPONSIBILITIES:

  • Review and process incoming emails, assigning tasks to appropriate team members
  • Monitor project progress using Monday.com and provide regular updates
  • Assist with scheduling and coordinating field employees (approximately 40) and back-office staff (8)
  • Support hiring and training processes, including documentation and onboarding
  • Maintain employee records and assist with the 90-day onboarding program tracking
  • Process and organize paperwork related to service agreements and contracts
  • Answer phone calls professionally and direct to appropriate departments
  • Assist with preparing quotes, invoices, and other business documents
  • Coordinate supplies and equipment maintenance
  • Support the implementation of the new employee handbook and safety manual
  • Assist with organizing company meetings and events
  • Help maintain company certifications and insurance documentation
  • Provide administrative support for marketing initiatives and social media presence


REQUIRED QUALIFICATIONS:

  • Previous administrative experience (1-2 years preferred)
  • Proficiency with Microsoft Office suite (Word, Excel, Outlook)
  • Experience with project management software (Monday.com preferred)
  • Excellent organizational and time management skills
  • Strong written and verbal communication abilities
  • Detail-oriented with ability to multitask in a fast-paced environment
  • Professional phone manner and customer service skills
  • Ability to maintain confidentiality with sensitive information
  • High school diploma or equivalent (Associate's degree preferred)


PREFERRED QUALIFICATIONS:

  • Experience in the cleaning, maintenance, or service industry
  • Knowledge of scheduling software (Crew Console with Black Labs)
  • Familiarity with green cleaning practices and environmental certifications
  • Experience with employee onboarding and training processes
  • Basic understanding of workplace safety protocols
  • Experience with social media management for business
