The Administrative Assistant is a member of the Medical Affairs team and will play a critical role in the scheduling, organizing, and preparing internal and external meetings. The ideal candidate will bring enthusiasm, diverse experience and skills, and collaborative spirit to a high-performing team. They will be comfortable with ambiguity, flexible with performing diverse tasks, and thrive in a fast-paced, dynamic environment.

The employee must occasionally lift and/or move up to 25 pounds, and infrequently up to 50 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus.
The noise level in the work environment is usually moderate.

Specific Responsibilities
- Support the Chief Medical Officer by performing various administrative tasks (i.e., heavy calendar management and scheduling, meeting logistics and event management by coordinating attendance, function dates and times, reserving meeting space, providing the appropriate equipment/materials and hospitality services, global travel arrangements and detailed itineraries) and assist the Vice President, Medical Affairs with meeting scheduling, event management and travel.
- Schedule, plan, and execute offsite and onsite meetings and workshops for the team
- Assist with onboarding and departure of departmental staff
- Perform various other administrative tasks as needed, such as expense reporting, invoice processing, etc.
- College degree or equivalent experience required
- Exceptional proficiency in Microsoft Office Suite: Outlook, Word, Excel, PowerPoint, and Teams
- Excellent written and oral communication skills
- Strong organizational skills
- Ability to multi-task, establish priorities and work in a fast-paced environment
- Demonstrated sense of urgency and accountability
- Interpersonal Skills: Ability to build trusted relationships and maintain positive working relationships across the organization.
