JOB SUMMARY: The Project Specialist Client Delivery is responsible for the day-to-day administration and organization of client projects (working closely with the Project Manager) to ensure that projects and their assigned deliverables are produced on time, within budget and according to the agreed upon scope of work. The Project Specialist may take the role of project manager for projects in maintenance phase.

- Participates in kickoff, in-process, status, final deliverable and other project related meetings with cross-functional teams and project stakeholders at all levels.
- Drives the agenda and produces the minutes for internal and external project team meetings by coordinating, collecting and collating topics through critical-thinking and collaboration with internal and external project team members.
- Assists with tasks such as data entry and administration of database management.
- Leads maintenance of project-specific tools/systems ensuring all are updated as required reporting to internal and external stakeholders.
- Contributes to tracking budget items for all services against project scopes of work.
- Coordinates project management activities, resources, equipment, and information to support client and Company for project/service solutions.
- Liaises with clients to identify and define requirements and objectives.
- Works to ensure clients’ needs are met.
- Helps prepare project related reports.
- Monitors project progress and handle issues as they arise.
- Acts as the point of contact and communicate project status to all project members.
- Creates and maintains comprehensive project documentation, plans and reports.
- Ensures the standards and requirements of the project are met.
- Other duties as assigned by supervisor. These may, on occasion, be unrelated to the position described here.
- Bachelor’s degree preferred, or equivalent combination of education, skills, and experience to perform the job.

- At least 1-year administrative experience supporting client-facing projects, programs or clinical trials; exposure to project management team environment desired.
- Strong critical thinking and analytical skills.
- Knowledge of financial management a plus.
- Knowledge of project management software tools and management techniques a plus.
- Excellent problem solving/decision making skills.
- Outstanding written and oral communication skills.
- Excellent organizational and planning skills with the ability to utilize technology and tools.
- Excellent interpersonal skills.
- Strong facilitation and coordination skills.
- Ability to function effectively in a fast-paced environment and manage multiple projects simultaneously.
- Excellent attention to detail skill. Must take pride in work product results; strive towards 100% accuracy in work processes.
- Proficient knowledge of MS Office, specifically Word, Excel and PowerPoint.
