We are actively looking for an Assistant - Corporate Affairs and Partnerships to support the Executive Vice President - Corporate Affairs and Partnerships and their team, as well as provide administrative support to the Talents and Culture team. Additionally, this person will be responsible for the linguistic compliance of all internal and external communications of the organization.

YOUR TALENTS WILL BE USED TO MEET THE FOLLOWING CHALLENGE:

  • Support the Executive Vice President - Corporate Affairs and Partnerships (EVP-CAP) and their team in the execution of various daily tasks.
  • Keep the EVP-CAP's calendar up to date to coordinate meetings, appointments, and various internal and external engagements.
  • Write minutes of certain meetings attended by the EVP-CAP.
  • Create expense reports for the EVP-CAP and submit them for approval.
  • Code invoices and monitor the budget of the Executive Vice President – CAP.
  • Ensure linguistic compliance and adherence to templates for all internal and external communications within the organization and translate them.
  • Support the business development teams by updating various corporate documents (corporate profiles and resumes, biographical notes, project sheets, technical sheets attached to submissions, PowerPoint presentations, etc.) and collecting related information.
  • Create and maintain internal reference documents (legal entities, list of regulations and laws, maritime glossaries, list of certificates and classification societies, etc.).
  • Format and correct various collective agreements and other administrative documents for the Talents and Culture team.
  • Organize internal and external meetings for members of the Corporate Affairs and Partnerships and Talents and Culture teams and make necessary reservations.
  • Make necessary reservations for various trips of the EVP-CAP as well as for members of the Corporate Affairs and Partnerships and Talents and Culture teams.
  • Keep the calendar of all external events (conferences, various events, golf tournaments, etc.) up to date and ensure internal distribution for participant validation.
  • Welcome guests and answer phone calls (tasks to be performed alternately with the receptionist).

OUR IDEAL COLLEAGUE HAS:

  • College diploma in administrative techniques or secretarial studies or other relevant training
  • More than seven (7) years of relevant experience in a similar role
  • Excellent knowledge of Microsoft Office Suite software
  • Languages: bilingualism in French and English, both oral and written
  • Ability to perform translations (French-English / English-French)
  • Knowledge of Spanish (asset)
