Position Summary:
The Human Resource Coordinator is responsible for facilitating essential HR functions and programs, while ensuring compliance with labor laws and regulations across multiple US states. Reporting to the Global HR Director, the coordinator will manage recruitment processes, support orientation and onboarding, oversee the Intern Employee Affinity Group (EAG), promote best practices in Diversity, Equity, Inclusion, and Belonging (DEIB), and assist in benefits
administration, and support learning and development initiatives. This position requires close coordination with department supervisors to ensure smooth integration of HR initiatives, employee retention strategies, and to support overall team needs. The ideal candidate will demonstrate a deep understanding of working within multi-state labor laws, be a strong problem solver with excellent analytical, communication, and collaboration skills, and be highly motivated with a commitment to excellence and results.

Duties & Responsibilities:
Talent Acquisition:
- Conduct outreach to universities, associations, and recruitment platforms.
- Participate in virtual job fairs; follow up with applicants and candidates.
- Update job descriptions and postings; conduct candidate screenings, source potential candidates, and prepare recruitment reports.
- Reconcile monthly recruitment-related invoices for the finance department.
- Collaborate with supervisors to assess staffing needs and align recruitment strategies accordingly.
- Update Org charts for all departments ensuring all positions are approved for hiring.
- Prepare offer letters and orientation materials, and process new-hire paperwork, including background checks and employment references.
- Work closely with department supervisors to ensure new hires are smoothly integrated into teams.
- Manage the HRIS, making sure to input all employee related information, and responsible for making sure it is always up to date.
- Ensuring all organizational charts are always up to date.
- Support and implement employee recognition, retention, and reward programs; track budgets and prepare reports.
- Lead and manage the Intern Employee Affinity Group, sharing recommendations with leadership and implementing changes.
- Support the coordination and implementation of Anera’s Diversity, Equity, Inclusion, and Belonging philosophy and strategy.
- Administer health and welfare plans, including enrollment, changes, and terminations, with close coordination with the Finance team.
- Process required payroll and insurance documentation to ensure accurate record keeping and deductions, with close coordination with the Finance team.
- Conduct research on best HR practices, trends, HRIS systems, and vendor evaluations.
- Provide insights to the Global HR Director and/or Regional HR Manager on relevant HR developments.
- Consolidate HR data and metrics and generate reports as required.
- Analyze employee survey results, conduct exit interviews, and process end-of-employment actions.
- Coordinate with supervisors to address employee feedback and identify areas for improvement.
- Assist with planning team-building events and other employee engagement activities in collaboration with HR department supervisors.
- Ensure compliance with multi-state labor laws and regulations, completing required documentation such as Forms I-9 and maintaining employee files in accordance with legal requirements.
- Provide guidance to supervisors on compliance-related matters.
- Assist with coordinating learning and development initiatives and supporting the performance evaluation process in close collaboration with department supervisors.
- Support the awareness of the performance appraisal process and cycle
- Act as a thought partner and support to staff members.
- Bachelor’s Degree in Human Resources or related field and/or equivalent experience.
- 2-4 years of experience with a solid understanding of human resource principles, practices, and multi-state labor regulations.
- Experience with project coordination and administrative HR tasks.
- Familiarity with Talent Acquisition tools and online communities.
- Excellent interpersonal communication skills.
- Proficiency in Google Workspace (Drive, Calendar, Docs, Sheets).
- Ability to maintain confidentiality and high levels of integrity.
- Strong time management skills with proven ability to meet deadlines.
- Ability to prioritize multiple tasks in a fast-paced, deadline-driven environment.
- Experience working with community engagement programs.
- Professional and customer-service-oriented demeanor, comfortable engaging with employees at all levels.
- Motivated self-starter, capable of working independently or in a team setting.

- The compensation range for this role is $54,000 - $59,000, dependent on experience
