Requirements:



SUMMARY:
As a Benefits Coordinator, your primary responsibility is to administer and oversee employee benefits programs and leaves of absences within the organization. You will ensure that employees understand their benefits options, assist them with enrollment processes, maintain accurate files, and address any inquiries or concerns regarding their benefits packages. Additionally, you will collaborate with HR teams, insurance providers, and other relevant stakeholders to optimize benefits offerings and ensure compliance with regulations.


HIERARCHY: The Benefits Coordinator reports to the HR Compliance Manager, US, who reports to the Global Director of Human Resources.




PRIMARY DUTIES:


Benefits Administration:



  • Manage the day-to-day administration of employee benefits programs, including health insurance, 401K plans, life insurance, disability benefits, and other voluntary benefits.

  • Coordinate open enrollment periods, including communication with employees, distribution of materials, and facilitating enrollment sessions.

  • Process benefit enrollments, changes, and terminations accurately and in a timely manner, ensuring compliance with company policies and regulatory requirements.

  • Maintain accurate employee benefits records and databases, including eligibility status, coverage levels, and beneficiary information.

  • Coordinate Workers’ Compensation claims with employees and carriers.


Leave Management:



  • Process and administer all leave-of-absence (LOA) requests and disability paperwork: medical, personal, disability and FMLA.

  • Coordinator with HR Specialist team regarding Paid Time Off and Sick time usage during LOAs.

  • Partner with third party administrator for Leave Management to ensure timely and accurate processing.

  • Review and respond to unemployment claims with appropriate documentation. Review monthly unemployment statements.

  • Coordinate the resource bench through collaboration with Operations, HR, Talent Acquisition, and Payroll team members.


Employee Support:



  • Serve as the primary point of contact for employees regarding benefits-related inquiries, concerns, and issues.

  • Provide guidance and assistance to employees on understanding their benefits options, coverage details, and utilization of benefits resources.

  • Collaborate with external benefits vendors and service providers to resolve employee inquiries and escalations effectively.


Communication and Education:



  • Develop and deliver clear and concise communications materials related to benefits programs, including employee handbooks, brochures, and online resources.

  • Conduct informational sessions and workshops to educate employees about available benefits, changes to plans, and best practices for utilizing benefits effectively.

  • Stay updated on industry trends, regulatory changes, and best practices in benefits administration to ensure the organization's benefits offerings remain competitive and compliant.


Compliance and Reporting:



  • Ensure compliance with all federal, state, and local regulations governing employee benefits programs, including ERISA, HIPAA, ACA, ADA, and COBRA.

  • Prepare and distribute required benefits-related notices and disclosures to employees in accordance with regulatory deadlines.

  • Generate and help analyze reports related to benefits utilization, costs, and trends to inform decision-making and strategic planning.

  • Review and validate monthly benefit invoices and work with carriers to correct any errors.

  • Review and administer accommodation requests as required under ADA regulations.


Cross-functional Collaboration:



  • Collaborate with HR colleagues, payroll staff, finance teams, and other departments to coordinate benefits-related processes, such as payroll deductions, budgeting, and reporting.

  • Participate in cross-functional projects and initiatives related to employee wellness, compensation, and talent management as needed.


COMPENTENCY:



  • Proven experience in benefits administration, HR administration, or related role.

  • Strong understanding of employee benefits programs, including health insurance, retirement plans, and voluntary benefits.

  • Knowledge of federal and state regulations governing employee benefits, such as ERISA, HIPAA, ACA, ADA, and COBRA.

  • Excellent communication and interpersonal skills, with the ability to effectively explain complex benefits information to employees.

  • Detail-oriented with strong organizational and analytical skills.

  • Proficiency in HRIS (Human Resources Information Systems) and MS Office Suite.

  • Ability to maintain confidentiality and handle sensitive employee information with discretion.


REQUIRED EDUCATION: High school diploma and relevant experience required. Bachelor’s degree in Human Resources, Business Administration, or related field preferred.


EXPERIENCE: Two years of relevant benefits experience required.

WORK ENVIRONMENT: Remote


EXPECTED HOURS OF WORK: Business hours are Monday through Friday 8:00 AM to 5:00 PM. However, required work hours may vary depending on business needs. Overtime is possible.


TRAVEL: No travel requirement.
