Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to oversee the creation, tracking, prioritization, and completion of work orders while coordinating vehicle movement and logistics. The ideal candidate is a proactive self-starter with excellent time management skills, exceptional attention to detail, and the ability to communicate effectively with technicians, vendors, customers, and internal stakeholders. This role requires someone who thrives in a process-driven environment and can manage multiple priorities while ensuring operational efficiency.

Responsibilities

Working and reporting directly with the Production Manager and Quality Manager, this role will perform all interim and final inspections on our upfitted vehicles.

  • Create, review, update and track work orders from initiation through completion,
  • Manage invoicing and ensure accurate documentation throughout the process.
  • Ensure work orders are accurate, complete, and prioritized based on operational requirements.
  • Coordinate vehicle scheduling, dispatching, transportation, and delivery activities.
  • Monitor vehicle availability, maintenance schedules, and operational readiness.
  • Liaise with external carriers to ensure seamless logistics coordination.
  • Track vehicle locations, status updates, and service completion timelines.
  • Maintain accurate records of work orders, vehicle movements and related documentation.
  • Follow up on outstanding work orders and logistics requests to ensure timely completion.
  • Anticipates potential challenges and proactively implements solutions to minimize disruptions.
  • Balances competing priorities while ensuring vehicles are utilized efficiently.
  • Communicate with the sales team for all requests regarding vehicle status
  • Support the Sales Team by generating reports.
  • Identify opportunities to improve workflows, efficiency, and service delivery.
  • Ensure compliance with company policies, safety standards, and established procedures.

Compensation And Other Benefits

  • $52,000 to $56,000 /Year
  • Compensation is commensurate with experience. Includes Health, Dental, and Vision benefits and paid vacation.

Requirements:

Required Qualifications

  • Experience in work order management, operations coordination, customer service, or a related field.
  • Accounting knowledge an asset
  • Proficiency in Microsoft Office applications.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
