Overview Of Role

Provide professional administrative and advisory support to the greater WestJet Legal team and drive a continuous improvement culture through a strong foundation of trust and influence.

Key Deliverables Include

  • Exercise a high degree of diplomacy and good judgment; maintain strict confidentiality; provide a high level of customer service to internal and external stakeholders; hold yourself and others to a high standard of quality; demonstrate consistency and reliability;
  • Provide the full spectrum of administrative support to the legal team, including manage telephone and email inquiries, monitor and coordinate general legal and privacy inboxes, creating and maintain scheduling of critical meetings, training, and travel for multiple lawyers;
  • Work alongside the lawyers, oversee the administration of correspondence, minutes of settlement, system for active matters, release and administer settlement payments, expense reports, maintenance of privacy register, print and compile materials in support of litigation, support “know-your-client” regulatory compliance and other corporate secretarial initiatives and quarterly reporting add other duties as requested.

Experience/Qualifications

  • Must possess 5+ years of experience in an administrative assistant role in an organization of similar scope, scale, and complexity to WestJet, with strong preference for candidates with legal administrative experience;
  • Advanced knowledge of the Microsoft suite of products (specifically Word, Power Point and Outlook and Excel);
  • Excellent time management and organizational skill set; highly detail-oriented with the ability to multi-task and manage time (both on their own and the lawyers) effectively.
  • Team player who can fit seamlessly into cohesive group and thrive in a fast-paced environment
  • Anticipate problems and ensure contingency plans are available and actioned if needed; meet deadlines; follow up to ensure other people’s contributions are on schedule
  • A legal assistance diploma from a recognized college, or other business administration diploma/degree combined with relevant experience in an operating legal role.
