As the firm continues to grow, they are seeking an experienced and motivated Legal VA / EA to join the Sydney team and provide high-level, confidential support to our Principal and the broader legal team.
About The Role
The client, being an Australian commercial law practice experiencing a high period of growth, is looking for a switched-on, highly organised Legal Virtual Assistant to take ownership of the Principal Director’s inbox and the actions that flow from it.
- This is not a passive monitor and forward role or a simple labelling of email s; we need someone with a good legal understanding who reads, triages, drafts, files, follows up, delegates, and closes the loop, often within the hour.
Key Responsibilities
- You manage email s from triaging, prioritising, flagging urgent matters, and drafting clear, professional responses
- You ensure our Principal director is aware of the urgent items requiring his attention, and prioritise tasks based on deadlines
- You identify conveyancing matters or any property related matters, and accurately assign correspondence to the right tea ---------- mbers, clients, and external parties without delay
- You book meetings, brief counsel, chase documents, update matter files, and follow up with clients and third parties
- You maintain a same-day-response standard for client communication and ensuring nothing falls through the cracks
- You run the diary and deadline system including court dates, filing deadlines, client commitments, and internal review points
- You keep matter management and document management systems clean, current, and accurate; filing records accordingly
- You proactively identify bottlenecks and surface them before they become problems
- At least 3 years of demonstrable experience as a Legal Virtual Assistant or EA supporting an Australian law firm or in-house legal team or similar industry
- Good understanding of Australian legislation, commercial law concepts, and legal terminology enough to read an email or document and understand what's actually being asked
- Excellent judgement on priority and urgency, you understand that a 24-hour delay on the wrong email can move a deadline, lose a client, or cost money
- High level of professionalism and confidence in written and spoken English
- Discretion as a second nature and a deep respect for client confidentiality and legal professional privilege
- Comfort with cloud-based legal tools (e.g. LEAP, Actionstep, Smokeball, FilePro, or similar), Microsoft 365, and document management platforms
