What Are We Looking For?

We are looking for an enthusiastic and energetic Executive Assistant to support our Marketing SVP’s and Chief Corporate Development Officer. This is a highly-visible role that will have constant interaction with all levels of the org. The ideal candidate will be able to manage multiple tasks and projects with competing priorities and deadlines. Additionally, they will have relevant experience in a fast-paced environment, excellent communication skills, a customer service attitude, and a willingness to grow and develop in this role. This person will be an integral part of developing and driving a positive company culture. We are looking for a team player willing to roll up their sleeves and be a team player!

What Will You Do?

  • Strategically and proactively manage the Marketing SVP’s and Chief Corporate Development Officer calendar and daily schedules.
  • Schedule and help coordinate details for various internal and external offsite meetings,(hotel, transportation, meals, meeting/session coordination) site visits, etc.
  • Take the lead in the coordination of all-hands, staff, and operational meetings, and assist with follow-ups as needed.
  • Responsible for making travel arrangements and managing/submitting associated expenses.
  • Anticipate needs, balance competing priorities, and continuously refine scheduling practices to support efficiency.
  • Assist in the coordination and execution of special projects and initiatives within the Marketing and Corporate Development department.
  • Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing communications.
  • Help with execution of employee experience initiatives and activities (e.g. coordinating team outings, etc.).
  • Creatively design and implement various methods of nurturing a fun and productive environment.
  • Collaborate with other executive assistants and team members to ensure seamless communication and coordination across departments.
  • Provide general administrative support to the Marketing and Corporate Development team as needed.

What Skills and Knowledge Should You Bring?

  • 7+ years proven experience as an executive assistant with 3+ years supporting C-level executives.
  • Admin experience in a high-growth, fast-paced environment managing multiple executives a plus.
  • Positive and enthusiastic attitude with a high tolerance for change and pressure.
  • Excellent organizational skills and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment, and an attention to detail balanced with the drive to get things done.
  • Solid written and verbal communication skills; ability to maintain a professional business appearance and attitude at all times.
  • Demonstrated ability to be proactive, take initiative, and exercise good judgment.
  • Comfortable with occasional after-hours support tied to travel or urgent priorities.
  • Proficient working knowledge of GSuite, MS Office and relevant software applications.
  • Ability to work well with cross-functional teams.
  • Ability to prioritize, problem-solve, manage time effectively, and work with minimal supervision.
  • Ability to quickly learn and adopt new technologies, procedures, workflows, etc.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.

Base Salary Range

$122,000—$149,000 USD
