We need someone who genuinely enjoys two things: building relationships with clients and building systems that keep projects on track. If you find satisfaction in both a great client call and a well-documented process, keep reading.

About Us

We're a Toronto-based design and development agency with 18 years in the industry. Our core team of 8 is supported by partners worldwide.

Our work starts with user experience and audience-first content. We deliver UX research, content strategy, web design, and development for B2B and higher education clients.

We try to balance profitability with quality of life. We also encourage team members to stretch beyond their core responsibilities - whether that's presenting at meetups, contributing to open source, or picking up new skills.

Our Approach to AI

We contribute to the Drupal AI Initiative and build open-source tools that bring AI capabilities to content management. We host and sponsor the AI/Drupal Toronto meetup, where practitioners explore what "human-first" AI looks like in practice - technology that supports human judgment rather than replacing it.

For you, this means working with AI tools daily and helping us figure out how to integrate them responsibly into client projects.

The Role

You're the main contact for clients with ongoing web support agreements, and in time you'll start leading website builds. You keep projects on schedule, on budget, and make sure nothing falls through the cracks. You also support the internal team by removing roadblocks and maintaining clear communication.

What You'll Do

  • Client Communication: Serve as the primary day-to-day contact for clients. Manage email, schedule meetings, and make sure their questions get answered.
  • Project Management: Lead daily team scrums and weekly planning sessions related to your projects. Assign tasks, track progress, and clear roadblocks using Agile methods.
  • Meeting Facilitation: Prepare agendas, lead discussions, capture notes and action items, and follow up.
  • Budget & Billing: Track project budgets and costs. Manage vendor bills and handle monthly client invoicing in QuickBooks.
  • Process Improvement: Use, document, and improve our Standard Operating Procedures. Help us get better at what we do.
  • Project Administration: Set up new projects in Jira, Coda, and Slack. Coordinate with international partners to keep everyone aligned.
  • Hands-On Support: Handle content entry and light QA for Drupal and WordPress sites when needed.

Who You Are

  • An Experienced Coordinator: 2+ years in project coordination or similar, ideally at a web or creative agency.
  • A Strong Communicator: You write clearly and speak confidently. You keep everyone on the same page without over-explaining.
  • Process-Oriented: You look for ways to make things more efficient. You're excited - not annoyed - by the idea of building a process playbook.
  • Comfortable with Tech: You've worked on website builds before. You understand the basics of a CMS like Drupal or WordPress.
  • Organized and Detail-Oriented: You catch mistakes before they become problems. Nothing falls through the cracks.
  • A Self-Starter: You work well independently and remotely. You solve problems on your own and manage your own tasks.
  • Familiar with Agile: You understand Agile principles and have used project management software like Jira.

Bonus Points For

  • Direct experience with Drupal or WordPress
  • Experience creating SOPs or process documentation
  • Familiarity with Coda, Marker.io, Rocket Validator, or BrowserStack
  • Experience with accessibility testing (WAVE or similar)
  • Experience using AI tools to improve your work
  • Ability to work from our Toronto office (Dupont/Lansdowne) 2 days a week

What We Offer

  • $67,000 - $75,000 based on your experience and how many bonus points you bring
  • Flexible hybrid model for Toronto staff; remote for candidates elsewhere in Canada
  • A small, collaborative team where your work is visible
  • Healthy work-life balance and a supportive culture
  • Professional development budget
  • Real input into how we grow as an agency
