The Opportunity
We’re hiring our first dedicated Loan Operations Specialist. You will be a founding member of our operations team and will become the heartbeat of every loan transaction.
You'll manage loans end-to-end — from initial disclosures through processing, closing, and post-closing delivery to investors. You’ll also help turn recurring issues into better systems, checklists, and workflows so we can scale without chaos.

What You'll Do
Loan Setup & Initial Disclosures
• Prepare and deliver accurate initial disclosures (LE, application package) within compliance timelines
• Set up new files in Encompass and ensure data integrity from the start
Processing
• Order and track third-party services (appraisals, title, VOEs, etc.)
• Collect and review borrower documentation
• Clear conditions and prepare complete files for underwriting and closing
Borrower Communication
• Serve as the primary point of contact for borrowers
• Provide proactive updates, answer questions, and set expectations
Third-Party Coordination
• Communicate with title companies, appraisers, investors, and other vendors
• Follow up on outstanding items and resolve issues before they escalate
Closing Coordination
• Review CDs for accuracy and completeness
• Coordinate with title/settlement agents on CTC, funding, and scheduling
• Help ensure on-time, drama-free closings
Post-Closing
• Prepare and deliver investor loan packages
• Clear trailing documents and post-closing conditions
• Track missing items and maintain clean investor relationships
Systems, Documentation & Improvement
• Turn recurring problems into better processes, checklists, and templates
• Document “the way we do things” to create scalable, consistent operations
• Partner with the founder to test and refine Encompass workflows
Tech & Tools
• Work daily in Encompass
• Use internal checklists, templates, and basic automations
• Be comfortable learning new tools and suggesting improvements
Who You Are
• 1–3+ years in mortgage operations preferred (processing, closing, post-closing), but we are open to training a sharp, motivated fast learner
• Familiar with Encompass LOS, or tech-comfortable and willing to learn
• Knowledge of conventional lending (Fannie/Freddie) preferred
• Systems thinker who turns mess into order
• Detail-oriented but fast — accuracy without perfection paralysis
• Self-managing and comfortable prioritizing without hand-holding
• Strong communicator with borrowers, title, LOs, and investors
• Adaptable to evolving processes and a growing company
• Ownership mindset — you treat each loan like your own
• Ambitious — interested in leadership opportunities as we scale
What We Offer
• Competitive base salary: $55,000 – $80,000 (depending on experience)
• Performance bonuses tied to per-loan production

Current Volume & Expectations
You will work on 10–15 loans per month, which is manageable for a highly organized person while still allowing time for system-building.
As we grow:
• We will add both people and tools — you will not absorb unlimited files
• Your role will evolve from hands-on execution to leading, training, and optimizing operations
