Job Summary

The Online Registrar’s Assistant is responsible for completion of the administrative duties within the academic/registrar’s department and ensuring academic integrity within the guidelines of institutional, accreditation, state, and federal policy and regulation. The Online Registrar’s Assistant works under the direct supervision of the Sr. Director of Online Education and works with the Academic team, Registrar, and other academic support staff to collaborate on completing necessary tasks.  

Minimum Requirements:
  • Associate degree from an accredited academic institution, or at least 2 years of academic experience, and record-keeping experience.

  • Highest levels of integrity and professionalism in appearance, demeanor, and attitude.

  • Ability to prioritize, multitask, and maintain attention to detail. 

  • Ability to work accurately and meet deadlines on-site and in a remote environment.

  • Capable of accepting feedback, implementing change, and holding themselves and others accountable for excellence.

  • Creativity and the ability to work independently.

  • Strong written, oral, and interpersonal communication skills, and success in collaborating with diverse groups.

  • Proficiency in Google Suites 

  • A record of integrity ensuring compliance with accrediting standards and applicable federal, state, and local requirements.

Preferred Qualifications:
  • Bachelor’s degree from an accredited academic institution.

  • Experience with CampusVue. 

  • Knowledge of registrar processes in higher education.

  • Strong analytical and decision-making skills with the ability to interpret data and trends.

  • Excellent interpersonal, communication, and organizational skills.

  • Commitment to diversity, equity, and inclusion in higher education.

Key Responsibilities:Administrative Support:
  • Be accessible to the online registrar and online leadership team via email, chat, meetings, and phone.

  • Assist in coordinating both ground and virtual graduation ceremonies.

  • Order, package, and mail diplomas, covers, and regalia for online graduates.

  • Assist with the collection, completion, and upload of online staff files.

Registrar Support:
  • Monitor daily reports for outstanding tasks and follow-ups.

  • Audit student records to ensure complete documentation, uploading necessary files into ImageNow.

  • Complete orders for prior proof of education, including purchasing money orders as part of that process.

  • Conduct outreach and evaluate proof of education for students per POE Policy.

  • Order transcripts for VA students.

  • Submit tickets for online education verification and unofficial transcripts.

  • Receive and upload proficiency forms.

  • Validate proof of credentials.

Management/Oversight/Professional Development/Training:
  • Maintain regular office hours and stay in contact with online Registrars and the Sr. Director, Online Education regarding schedule changes.

  • Participate in professional development and in-service activities.

  • Adhere to the Employee Handbook, Faculty Handbook, Catalog, and other school policies and procedures, including amendments.

  • Perform other duties and responsibilities as assigned by the Sr. Director, Online Education, VP of Online Operations, or their designees.

Work Environment:
  • Must be willing and able to commute to the bank, post office, FedEx, etc. as needed. 

  • The noise level in the work environment is usually moderate.

Working Conditions:

  • Willingness to work 9:00 am -5:00 pm Monday through Friday with occasional evening and weekend hours.

Physical Demands:
  • Occasionally required to stand, walk, sit, use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch, or crawl; talk or hear; taste or smell.

  • Occasionally lift and move up to 25 pounds.

  • Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.  

  • Must have a valid driver's license.
