Job Description: 

The Payroll Specialist is a key member of the payroll team responsible for ensuring the accurate and timely processing of payroll for all employees. This position plays a critical role in maintaining compliance with federal, state, and local regulations, as well as company policies and internal controls.

As an experienced individual contributor, the Payroll Specialist will perform complex payroll functions, support audits and reconciliations, and serve as a subject-matter expert on payroll practices and systems. The role requires exceptional attention to detail, confidentiality, and collaboration with HR and Finance to ensure data accuracy and operational efficiency.

Essential Duties and Responsibilities: 

  • Process and review payrolls for all employees accurately and on schedule, in compliance with applicable laws and company policies
  • Audit payroll data for accuracy, including earnings, deductions, benefits, and tax withholdings
  • Ensure all payroll transactions are properly authorized and documented, maintaining adherence to internal control procedures
  • Research and resolve payroll discrepancies and respond promptly to employee inquiries
  • Collaborate with HR and Finance to ensure employee data and compensation changes are accurate and updated in the payroll system
  • Reconcile payroll reports and prepare summaries for management review
  • Maintain confidentiality of sensitive payroll and employee information at all times
  • Stay current with payroll laws, tax regulations, and system enhancements, recommending process improvements when appropriate
  • Support internal and external audits by providing documentation and analysis as needed

Competencies: 

  • Exceptional attention to detail and analytical ability to identify and resolve discrepancies
  • Strong understanding of payroll regulations and compliance standards
  • Effective communication and customer service skills when addressing employee inquiries
  • Ability to manage multiple priorities under tight deadlines while maintaining accuracy
  • High ethical standards and discretion in handling confidential employee data
  • Proficiency in payroll software and Microsoft Office Suite

Experience and Requirements: 

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred
  • Minimum of 5 years of experience in payroll processing and payroll administration
  • Strong knowledge of payroll laws, wage and hour regulations, and compliance requirements (federal, state, and local)
  • Certified Payroll Professional (CPP) designation
  • Experience with payroll software and systems such as ADP, Paychex, or UKG
  • Experience with multi-state payroll processing
  • Strong Excel and data analysis skills
