The opportunity


Join our dynamic and collaborative Client Solutions team within our Envision Medical Communications division, where you'll play a key role in leading the successful delivery of high-impact publications projects for a growing global client account. We're looking for an enthusiastic and detail-oriented Program Coordinator to help ensure quality and compliant delivery of scientific publications projects, building valuable experience in the world of medical communications.


We are accepting applications from candidates based permanently in the US (Eastern or Central time zones) or Ontario, Canada. We support both remote and hybrid working from one of our office locations.

Role responsibilities

  • Supporting the end-to-end coordination of publications, working hand-in-hand with Account Managers, Scientific Leads, and cross-functional teams.
  • Becoming a trusted expert in our proprietary platform, iEnvision, driving data accuracy, compliant workflows, and timely reporting.
  • Ensuring that our clients' working practices and SOPs are being followed rigorously and in a compliant manner, aligned with industry standards.
  • Managing timelines, author feedback, and journal/congress submissions with laser-sharp attention to detail.
  • Owning administrative tasks like scheduling meetings, drafting minutes, and managing deliverable trackers.
  • Researching congresses and journals to support submissions and liaising with editors and secretariats to get the job done.
  • Act as point person on assigned areas of responsibility for internal teams and client stakeholders, responding proactively to queries and requests as appropriate.
  • Building strong, reliable relationships with clients and internal teams with a focus on clear, proactive, and solution-focused communication.


Do you have what we are looking for?


Skills & expertise

  • A degree (or equivalent) in a scientific, business, IT/technology or communications-related field is preferred.
  • Typically, at least 1 year of prior experience in a project administration/ coordination role, with proven experience in using platforms or databases to track deliverables.
  • Preferably prior experience in medical communications, or similar, agency environment.
  • Familiarity with Microsoft Office (especially Excel, Outlook and Teams); experience with platforms like Datavision, Zinc, or Veeva Vault is a plus.
  • Strong organizational skills and meticulous attention to detail.
  • A love of processes, tech platforms, and teamwork.
  • Ability to manage multiple tasks, stay calm under pressure, and meet deadlines.
  • Comfortable working in a dynamic, collaborative, and fast-moving environment.

The provided salary range reflects the potential base salary for this role in the United States, considering factors such as your professional and academic experience, training, and role responsibilities.
