THE ROLE: The Executive Assistant will provide administrative support to C-Suite Executive team members, including scheduling meetings and conference calls, organizing travel arrangements, preparing expense reports, managing calendars, and maintaining office supplies. The ideal candidate should be highly organized, detail-oriented, and possess excellent communication skills. They should also have experience working in a fast-paced environment and be able to handle multiple tasks simultaneously while meeting tight deadlines.

Day In The Life

  • Schedule appointments and arrange conference rooms for meetings.
  • Prepare agendas and materials for meetings and distribute them as needed.
  • Organize domestic travel plans, including flights, hotels, rental cars, and other transportation options.
  • Assist with expense reporting and reimbursement processes.
  • Manage calendar invitations and coordinate with internal and external stakeholders to ensure smooth execution of events.
  • Create and update databases using Microsoft Office Suite (Word, Excel, PowerPoint).
  • Provide administrative support to department heads and senior staff members.
  • Perform general administrative duties, such as answering phone calls, responding to emails, sending faxes, and filing documents.
  • Maintain confidentiality of sensitive information and adhere to company policies and procedures.
  • Review and proofread correspondence, memos, reports, and presentations for accuracy, grammar, and spelling errors.
  • Coordinate special projects and assignments as directed by management.
  • Oversee day-to-day operations and act as a liaison between team members and upper management.

What You’ll Need

  • Bachelor's degree
  • 4-5 years of work experience.
  • Excellent verbal and written communication skills essential.
  • Ability to multitask and manage competing priorities effectively.
  • Strong attention to detail and commitment to quality assurance.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) required.
