The Executive Assistant is responsible for performing a variety of clerical duties and providing high-level administrative support to the Chief Executive Officer and Executive Leadership Team. This is a remote position with travel required for community events, business at AFS office locations, and as needed to a home office.

About Alternative Family Services

Alternative Family Services is a Foster Family, Adoption and Mental Health Agency that has been serving abused and neglected children in our community since 1973. Our mission is to support vulnerable children and families in need of stability, safety, and well-being in communities. We provide a wide range of foster, adoption, mental health and transition-aged youth services in English and Spanish. We have eight locations throughout the Bay Area and 200 employees. Responsibilities

  • Assist with supervisor meetings and schedules
  • Maintaining appointment schedules and calendars.
  • Planning and scheduling meetings, conferences, and travel.
  • Creating PowerPoint and/or equivalent Google product presentations.
  • Managing expenses
  • Serve as a liaison for internal and external clients, including screening phone calls, facilitating client communications to the appropriate client service staff, and following up with clients, when appropriate
  • Work collaboratively with staff, ensuring reports and documentation are properly filed and documentation is appropriately conveyed to external correspondents as required or appropriate
  • Maintain clerical tracking spreadsheets and databases for various projects
  • Maintain a safe and organized office environment, filing and storage system
  • Maintain paperwork and packets
  • Ensure compliance with HIPAA privacy practices and other confidentiality requirements
  • Adhere to our attendance and punctuality policy


Qualifications

  • High School Diploma or GED, BA in social science related field a plus
  • Minimum 2 years of executive or senior administrative assistant experience, with a non-profit organization preferred
  • Skilled in Microsoft Office, especially Word, Excel, Outlook, PowerPoint and Publisher and the equivalent Google products
  • Obtain and maintain fingerprints and government and Agency required background clearances
  • Able to read and write fluently in English
  • Able to clearly communicate verbally and in writing
  • California driver’s license and auto insurance showing as an insured driver on the policy
  • Able to maintain a professional demeanor
  • Able to interact with and communicate pertinent information, verbally and in writing, to co-workers as part of a cooperative team
  • Able to effectively manage time and meet deadlines
  • Possess a high level of integrity, honesty and strong work ethic
  • Able to apply common sense understanding to carry out instructions furnished in written, oral or diagram form
  • Possess and agree to continue to work on cultural competency as it relates to the diverse client population served and staff and community members with whom AFS interacts
  • Able to work with minimal direct supervision and manage time and prioritize workload
  • Excellent organizational and detail skills


Driving Requirements

This position requires the employee to work out in the community and within foster homes throughout the Bay Area. Thus, position requires employee to possess a valid CA driver’s license and valid automobile insurance with his/her name on the verification card as an insured driver on the policy at all times. Position requires daily access to a car in safe working order.
