Overview

Stellar Virtual Schools is seeking a dedicated and organized Special Education Case Manager to support students with disabilities and their families within our virtual learning environment. The Case Manager serves as the primary point of contact for a caseload of students, ensuring the effective implementation of their Individualized Education Programs (IEPs) and communicates with parents five days prior to the ARD. This role requires a strong understanding of special education processes, excellent organizational skills, and the ability to build rapport and effectively collaborate in a remote setting.

Essential Duties

  • IEP Development and Management:
    • Serve as the primary case manager for ARD/IEP meetings, ensuring timely preparation, and completion in accordance with federal (IDEA) and Texas state regulations.
    • Collaborate with parents, general education teachers, special education teachers, related service providers, and administrators to develop comprehensive, individualized IEPs that address student needs, set measurable goals, and outline appropriate accommodations, modifications, and services.
    • Monitor the implementation of IEPs in the virtual learning environment, ensuring fidelity of service delivery by all assigned personnel.
  • Communication and Collaboration:
    • Maintain consistent and proactive communication with parents/guardians, serving as their primary point of contact for all special education matters.
    • Facilitate effective communication and collaboration among all members of the student's educational team (teachers, specialists, administrators) through virtual meetings, emails, and phone calls.
    • Provide support and guidance to general education teachers on implementing accommodations and modifications for students on their caseload in the online classroom.
  • Compliance and Documentation:
    • Ensure all special education documentation for assigned students is accurate, complete, and compliant with federal, state (TEA), and district guidelines.
    • Monitor and track all critical special education timelines (e.g., initial evaluations, re-evaluations, annual ARDs) for assigned students, proactively initiating processes to ensure compliance.
    • Input and maintain accurate student data in the district's special education management system (e.g., Frontline) and state reporting system (PEIMS).
  • Progress Monitoring & Data Collection:
    • Oversee and guide teachers in the collection and analysis of student progress monitoring data toward IEP goals.
    • Review and summarize student progress to inform IEP team decisions and prepare for ARD meetings.
  • Advocacy and Support:
    • Advocate for the needs of students on the caseload, ensuring they receive a Free Appropriate Public Education (FAPE) in the least restrictive environment.
    • Connect families with district and community resources as appropriate.
  • Professional Development:
    • Participate in ongoing professional development to stay current with best practices in special education, virtual instruction, and legal updates.
Knowledge, Skills & Attributes

  • Minimum of 2-3 years of experience as a Special Education Teacher or Case Manager.
  • Demonstrated experience in developing, implementing, and monitoring IEPs.
  • Strong working knowledge of federal (IDEA) and Texas state special education laws, regulations (TAC), and policies.
  • Experience as a case manager for ARD/IEP meetings, either virtually or in-person.
  • Prior experience in a virtual or online learning environment is highly preferred.
  • Proficiency in special education management systems (e.g., Frontline, Plan Management) and PEIMS reporting
  • Exceptional organizational skills, with a keen eye for detail and managing multiple timelines.
  • Excellent verbal and written communication skills, capable of clear and empathetic interactions with diverse stakeholders remotely.
  • Strong interpersonal skills to build collaborative relationships with parents, students, and staff.
  • Proficiency in using virtual communication tools (e.g., Google Meet, Zoom), Google Workspace, and online learning platforms.
  • Ability to work independently, prioritize tasks, and manage a caseload effectively in a remote work setting.
  • Problem-solving orientation with a commitment to finding solutions that benefit students.
  • Unwavering commitment to student success and ethical practice.

Education & Certification Requirements

  • Bachelor's degree in Special Education or a related educational field required. Master's degree preferred.
  • Valid Texas teaching certification in Special Education required.
