We're seeking an experienced Payroll Specialist to manage full-cycle payroll and compliance for both employees and contractors across the U.S. and Canada. You'll be responsible for executing regular payroll cycles for over 1,000 employees and coordinating monthly contractor payments for 300+ individuals.
This mid-level role is best suited for someone with 5–6 years of experience or greater who is highly detail-oriented, independently driven, and comfortable taking ownership especially during key coverage periods, such as vacation backup for leadership.
This role is an excellent fit for a seasoned payroll professional who brings precision, independence, and a proactive mindset to a fast-paced environment. While not a senior position, it offers meaningful responsibility and the chance to be a core operational partner, especially when leadership coverage is required. You'll play a critical role in ensuring payroll continuity, compliance, and an excellent employee and contractor experience.

What You'll Do
Payroll Execution
- Process bi-weekly and semi-monthly payrolls for a growing, multi-state and multi-province workforce (U.S. and Canada).
- Administer monthly contractor payroll for a diverse network of 300+ independent professionals.
- Validate payroll inputs including hours worked, bonuses, commissions, retroactive pay, and off-cycle transactions.
- Ensure accuracy and timeliness while maintaining compliance with jurisdictional regulations.
- Manage state tax registrations for new locations and ensure proper setup in payroll systems.
- Liaise with U.S. state tax agencies, IRS, and CRA (Canada Revenue Agency) to handle filings, updates, and issue resolution.
- Apply in-depth knowledge of multi-state taxation and Canadian provincial requirements.
- Oversee workers' compensation setup and classification, ensuring correct wage reporting.
- Support compliance processes related to 401(k) contributions, and year-end limits.
- Prepare documentation for annual payroll audits, 401(k) audits, and financial reviews.
- Manage year-end filings including W-2s (U.S.), T4s and ROEs (Canada).
- Partner with Finance to reconcile payroll reports and maintain audit-ready records.
- Address payroll-related inquiries from employees and contractors promptly and professionally.
- Collaborate with People and Benefits teams to ensure employee records are up to date and benefit deductions are accurately applied.
- 5–6+ years of end-to-end payroll experience with a proven track record in both U.S. and Canadian payroll.
- Experience supporting 1,000+ employees and managing monthly contractor payrolls for 300+ individuals.
- Strong understanding of multi-jurisdiction payroll laws, including FLSA, ACA, EI, CPP, and provincial labor regulations.
- Hands-on experience with Rippling or similar cloud-based payroll and HRIS systems.
- Proficiency in Excel (VLOOKUP, pivot tables, reconciliations).
- Experience in 401(k) and benefits-related deductions, vendor coordination, and audit support.
- Strong interpersonal skills and ability to operate independently with a high level of confidentiality.
- CPP (U.S. or Canadian Certified Payroll Professional) is a strong asset.
- Startup or high-growth company experience.
- Familiarity with global mobility or international payroll structures.
- Exposure to payroll-related workers' comp classification audits and vendor management.

- The base salary for this role ranges from $90,000-$118,000 USD, depending upon experience
