Job Title: Intake Coordinator – ABA Therapy Services

Salary: $50,000-$60,000 depending on experience

Location: Remote (with flexibility)

Position Summary

We're looking for a warm, organized, and detail-oriented Intake Coordinator to serve as the first point of contact for prospective clients. In this role, you'll guide families through the intake process, ensuring a seamless and supportive experience as they begin their journey with our services.

Key Responsibilities

  • Serve as the welcoming first contact for new families via phone, email, and web inquiries.
  • Evaluate intake paperwork and clinical documents to gather essential client information and determine eligibility.
  • Accurately enter and manage client data and documentation within our EMR system, Central Reach.
  • Guide families through the intake process with empathy, clarity, and professionalism.
  • Communicate insurance benefits after verification and obtain necessary authorizations and referrals for ABA therapy.
  • Coordinate with clinical and administrative teams to ensure smooth transitions into care.
  • Track inquiries, manage timely follow-ups, and stay on top of documentation deadlines.
  • Educate families about ABA therapy, our services, and what to expect throughout the process.
  • Maintain confidential records in accordance with HIPAA and company policies.
  • Collaborate with external healthcare providers as needed to support client onboarding.

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • East cost time zone preferred but not required
  • Experience in ABA, behavioral health, or healthcare administration is a plus.
  • Exceptional interpersonal and communication skills, especially over the phone.
  • Ability to multitask, stay organized, and manage a fast-paced workflow.
  • Central Reach experience is not required but highly preferred.
  • Detail-oriented, compassionate, and highly professional.
  • Self-motivated and able to thrive in a remote work environment.
