We’re currently seeking a Health Records Management Specialist to join our growing team! If you’re detail-oriented, tech-savvy, and passionate about organization and accuracy, this role might be the perfect fit for you.

Position Overview:

The Health Records Management Specialist will be responsible for managing and maintaining accurate client documentation across multiple systems. This role is essential to ensuring compliance, efficiency, and timely service delivery across the organization.

Key Responsibilities:

  • Maintain and update electronic health records (EHR) for all clients
  • Ensure all intake forms, authorizations, treatment plans, and evaluations are current and filed correctly
  • Perform regular audits of client records to ensure completeness and compliance with HIPAA and internal standards
  • Collaborate with clinical and admin teams to correct errors or discrepancies in our appointment scheduling and documentation software
  • Monitor expiration dates on required documentation (e.g., consents, treatment plans) and prompt follow-up
  • Support the onboarding process by uploading new client documents into the system
  • Help develop and improve systems and workflows for efficient records management

Requirements:

  • Prior experience with EHR or practice management software (e.g., Aloha, SimplePractice, Theralytics, CentralReach, etc.)
  • Strong attention to detail and organizational skills
  • Comfort with troubleshooting and resolving administrative or documentation errors
  • Familiarity with HIPAA guidelines and standards
  • Excellent communication and time management skills
  • Experience in a healthcare or behavioral health setting preferred
