Description

We are seeking a proactive, highly organized, and detail-oriented Executive Assistant (EA) to support our CEO. This is a dynamic and fast-paced role that requires someone who is resourceful, adaptable, and a strong communicator. The ideal candidate is passionate about supporting others and takes full ownership of their responsibilities with minimal oversight.

Key Responsibilities

Administrative Support

  • Manage and process bill payments that cannot be automated (e.g., state tax fees, government expenses, vendor invoices).
  • Prepare and submit recurring government filings (monthly, quarterly, annually).
  • Maintain and manage all payment and filing calendars to ensure timely completion.

Basic Accounting & Financial Coordination

  • Upload bank statements and documentation to accounting partners for reporting purposes.
  • Reformat financial statements for external reporting (no accounting expertise needed).
  • Flag unusual vendor or partner charges and liaise with the accounting team as needed.

Scheduling & Calendar Management

  • Coordinate appointments and in-person meetings that fall outside of the CEO’s Calendly system.
  • Assist with occasional travel bookings.

Ad-Hoc Support

  • Attend meetings on behalf of the CEO and complete follow-up tasks.
  • Provide a daily general to-do list for CEO action (e.g., pending approvals, missing info).
  • Handle miscellaneous tasks and small projects as they arise.

Email Management

  • Draft responses to straightforward emails and save for CEO review.
  • Prepare and send a daily email to-do list with pending responses or follow-ups.

Social Media & Email Marketing

  • Draft thoughtful and engaging corporate social media posts aligned with the company’s brand.
  • Write email marketing messages to partners (updates, holiday notes, etc.).

Executive-Level Support

  • Deliver a daily summary of goals, priorities, and upcoming commitments.
  • Identify and propose opportunities for task delegation.
  • Maintain and organize the contact database (partners, investors, advisors, etc.), including follow-up scheduling and action items (e.g., personalized check-ins, holiday outreach).

Requirements

  • Proven experience as an Executive Assistant supporting senior leadership.
  • Exceptional attention to detail.
  • Ability to quickly understand and execute tasks with little instruction.
  • Comfortable working in a fast-paced, high-growth environment.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Familiarity with basic accounting concepts and government filing processes is a plus.
  • High level of discretion and trustworthiness; able to manage confidential and sensitive information.
  • Passion for supporting others and making an impact through thoughtful, behind-the-scenes work.
