Job Description

The IT Coordinator’s primary role is to track and monitor the progress of projects and tasks assigned to IT team members, reporting updates to the Lead System Administrator and the Director of IT. They support administrative functions such as invoicing, project tracking, and performance reporting. Additionally, they manage technical procurement, service tracking, vendor relations, and operational logistics, ensuring smooth service delivery by overseeing purchases and coordinating vendor quotes.

Key Responsibilities

  • IT Operations & Project Coordination
  • Log, monitor, and prioritize service request and IT projects.
  • Monitor and report key performance indicators, including service level agreements (SLAs), issue resolution times, and project milestones.
  • Track IT team productivity, ensuring efficient task management and project delivery.
  • Act as a liaison between the IT department across the different studios, and coordinate communications towards the internal customers.
  • Coordinate new user onboarding, account creation, reactivations, and offboarding in collaboration with Human Resources and Production teams.


2- Procurement & Financial Tracking

  • Coordinate renewals of software, plugins, hardware, and cloud services to ensure service continuity.
  • Coordinate schedules of all IT departments members across the different studios to assure global support coverage.
  • Coordinate purchases across multiple locations.
  • Collaborate with the finance team to track, reconcile, and report purchases, ensuring budget compliance and accurate financial records.
  • Request and compare quotes from multiple vendors to secure the best value.


Qualifications

  • Ability to manage multiple tasks, track projects, and maintain accurate records.
  • Familiarity with IT asset management, software licensing, and service request systems.
  • Strong attention to detail when processing invoices, reconciling expenses, and managing credit card reports.
  • Clear communication with internal teams, external vendors, and service providers.
  • Fluent in both French and English, with excellent written and verbal communication skills.
  • 2+ years in IT procurement, project coordination, or administrative roles in a technical or creative environment.
  • Familiarity with project tracking tools, procurement platforms, and service management software.
