This remote position involves managing and responding to patient inquiries from various sources—such as our website, social media, and referral channels—and guiding each individual from their first interaction with us through to their first office visit.

The ideal candidate is personable, detail-oriented, and capable of learning about our ketamine treatments to confidently answer basic questions and provide relevant information to prospective patients. A proactive, “can-do” attitude and thorough follow-up are essential to success in this role.

Key Responsibilities

  • Answer incoming calls and patient inquiries, providing clear and accurate information about our clinic and treatment options.
  • Guide each patient through the intake process, including collecting referrals, coordinating with referring providers, verifying insurance, and gathering essential documentation.
  • Communicate effectively and professionally over the phone, ensuring that patients feel supported, heard, and understood at each touchpoint.
  • Document all interactions and follow-ups, tracking each patient’s journey from initial inquiry to their first scheduled appointment.
  • Learn and communicate basic details about our ketamine treatments, answering questions within the scope of your role and providing a positive initial experience.
  • Coordinate with internal teams to ensure a seamless patient intake experience and quickly address any questions or concerns.

Qualifications

  • Strong oral communication and phone skills, with experience handling incoming patient calls or customer service inquiries.
  • Experience in medical administration, patient intake, or care navigation preferred.
