Job Overview

The Administrative Assistant will be instrumental in providing vital administrative support to our practice. This role involves overseeing schedules, facilitating communication, maintaining records, and ensuring the office operates smoothly. The ideal candidate will exhibit strong organizational skills, the ability to manage multiple priorities, and a proactive problem-solving mindset.

Key Responsibilities

  • Schedule management: Coordinate appointments, meetings, and team schedules to optimize workflow.
  • Patient records: Organize, update, and maintain accurate patient records in accordance with HIPAA and healthcare regulations.
  • Communication: Act as the primary contact for incoming calls, emails, and correspondence, directing them appropriately.
  • Office coordination: Oversee office supplies, equipment upkeep, and vendor management to ensure a functional workspace.
  • Data entry & reporting: Input, manage data, generate reports, and support financial record maintenance.
  • Billing support: Assist with billing tasks, including verifying insurance information, preparing invoices, and processing payments.
  • Support for staff & clinicians: Provide administrative assistance to physicians and clinical staff by preparing documentation and organizing materials.
  • Event coordination: Support the organization of meetings, training sessions, and other events as required.

Qualifications

  • High school diploma or equivalent; an Associate's or Bachelor's degree is preferred.
  • A minimum of 2 years of experience as an Administrative Assistant, preferably within a healthcare setting.
  • Familiarity with healthcare operations, medical terminology, and insurance processes is advantageous.
  • Experience with electronic medical records (EMR) systems is highly desirable.

Required Skills

  • Organizational skills: Ability to prioritize tasks effectively and maintain accuracy under pressure.
  • Technical proficiency: Expertise in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software.
  • Communication: Strong verbal and written communication skills for professional interaction with staff, patients, and vendors.
  • Attention to detail: High degree of accuracy in data entry, recordkeeping, and scheduling.
  • Problem-solving: Proactive approach to identifying and addressing challenges effectively.
  • Confidentiality: Capacity to manage sensitive information with discretion and professionalism.
  • Teamwork: Collaborative spirit and willingness to support colleagues across various departments.
