JOB SUMMARY: This job is responsible for providing comprehensive support to C-Suite. This position successful candidate will be a key partner to C-Suite, ensuring efficient operations and seamless communication within the organization. This role requires exceptional organizational skills, attention to detail, excellent writing and PowerPoint skills, and the ability to travel when needed.





JOB ROLES AND RESPONSIBILITIES:



Manage C-Suite's calendar, scheduling appointments, and coordinating meetings and conference calls


    Plan, coordinate, and prioritize travel arrangements, including booking flights, hotels, transportation, and creating detailed itineraries


      Prepare and edit correspondence, communications, presentations, and other documents on behalf of C-Suite


        Develop and maintain strong relationships with internal and external stakeholders, including executives, clients, partners, and vendors


          Assist in the preparation of reports, presentations, and materials for meetings and presentations


            Conduct research and compile data as needed for various projects and initiatives


              Handle confidential information with discretion and professionalism


                Anticipate the needs of C-Suite and proactively address them


                  Coordinate special projects and events as assigned


                    Provide general administrative support, including managing expenses, filing, and other ad hoc tasks as needed

                      JOB SCOPE:


                      This job works under minimal supervision in support of a Senior Executive on a variety of high level work assignments of a confidential, sensitive, and complex nature with considerable discretion to execute job responsibilities. The incumbent is expected to possess a higher degree of business acumen as well as the capacity to influence others on behalf of the executive. The work involves comparison and evaluation of alternatives and taking action after a decision has been made. The incumbent uses sound business judgment in the exercise of authority to waive or deviate from established policies and procedures without prior approval. In some cases, this job delegates work and may provide work direction to other administrative support based on competence, experience, knowledge of the context, confidentiality, priority, urgency, and availability. This job provides work direction to employees regarding designated projects or assignments. The work requires a high level of professionalism, responsibility, tact, confidentiality and integrity due to frequent contact with executive management, internal and external senior level contacts, and regular exposure to sensitive confidential information related to Company operations and financials. The quality of work output has potential impact on the Company name and brand.






                      JOB REQUIREMENTS (Education, Experience, and Training):



                      • Minimum Associates’ degree with a major in a business related field; or High School diploma and 2 years of related experience. Bachelor’s degree in a business related field preferred.

                      • Minimum 8 years experience in roles related to job responsibilities, including minimum 3 years experience in administrative support of an executive level employee. Experience in the insurance/healthcare environment is helpful.

                      • Communication (written, verbal, and interpersonal), detail-oriented, problem solving, organizational, administrative, project management, and diplomatic skills


                        • Proven experience as an executive assistant or similar role supporting C-level executives.

                        • Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively in a fast-paced environment.

                        • Strong communication skills, both written and verbal, with a keen attention to detail.

                        • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

                        • Ability to work independently and as part of a team, with a positive attitude and willingness to adapt to changing priorities.

                        • Discretion and confidentiality in handling sensitive information.

                        • Flexibility and willingness to travel as needed.


                      • Ability to maintain confidentiality of information

                      • Ability to coordinate and prioritize multiple tasks in a fast-paced environment

                      • Ability to accept the delegation of less consequential executive tasks

                      • Ability to work in high stress environment

                      • Ability to work in a proactive manner and anticipate needs

                      • Ability to work extended hours as needed


                      COMPENSATION


                      The salary range for this position is $80-85K Specific offers take into account a candidate’s education, experience and skills, as well as the candidate’s work location and internal equity. This position is also eligible for health insurance, 401k and bonus opportunity.
