SUMMARY:

Reporting to the Payroll Manager, the Payroll Administrator is responsible for the accurate, timely, and compliant processing of payroll across multiple entities within the Lithion Power Group organization. This role requires a deep working knowledge of Canadian payroll legislation and employment standards, complemented by a strong understanding of U.S. payroll practices, as the incumbent will support payroll processing across both Canadian and American operations. The ideal candidate is a detail-oriented, experienced payroll professional who is proficient in ADP Workforce Now and comfortable navigating the complexities of a multi-company, multi-jurisdictional payroll environment.

KEY RESPONSIBILITIES & DUTIES: 

  • Processes full-cycle payroll for all Canadian employees across multiple Lithion entities, ensuring accuracy, timeliness, and compliance with the Canada Revenue Agency (CRA), provincial employment standards legislation, and the Employment Insurance Act.
  • Review payroll inputs including new hires, terminations, salary changes, bonuses, commissions, leaves of absence, overtime, and other earnings and deductions.
  • Administers statutory deductions including CPP, CPP2, EI, and provincial income tax withholdings in accordance with applicable rates and annual updates.
  • Prepares and files Records of Employment (ROEs) via Service Canada in a timely manner upon interruption of earnings.
  • Reconciles and remits payroll source deductions to the CRA within prescribed deadlines.
  • Maintains up-to-date knowledge of provincial employment standards across Alberta and any other provinces in which Lithion employees are located.
  • Supports payroll processing for U.S.-based employees across applicable Lithion entities, ensuring compliance with federal and state payroll regulations including FLSA, FICA, FUTA, and applicable state unemployment and income tax requirements.
  • Manages U.S. payroll inputs in alignment with at-will employment practices and applicable state-specific wage and hour laws, including Nevada, Massachusetts, and Texas.
  • Coordinates W-2 preparation and year-end payroll reconciliation for all U.S. entities.
  • Ensures timely remittance of federal and state payroll tax obligations and maintains awareness of state-specific compliance requirements across all jurisdictions where U.S. employees are based.
  • Builds and runs standard and ad hoc payroll reports within ADP Workforce Now to support HR, Finance, and operational reporting needs.
  • Coordinates with HR and Finance teams across entities to ensure payroll data is complete, accurate, and submitted within established deadlines.
  • Maintains organized and audit-ready payroll records for all entities in accordance with applicable record retention requirements.
  • Monitors and implements changes to payroll legislation, tax rates, and employment standards across all applicable Canadian provinces and U.S. states.
  • Ensures payroll practices remain compliant with all applicable federal and provincial/state laws, CRA requirements, and internal Company policies.
  • Prepares payroll-related reports for management, Finance, and external auditors as required.
  • Assists with internal and external payroll audits and implements corrective action as required.
  • Responds to employee inquiries regarding pay, deductions, and payroll-related matters in a professional and timely manner.
  • Maintains strict confidentiality of all payroll and compensation information.
  • Performs other duties as assigned in support of HR and Finance operations.


QUALIFICATIONS & COMPETENCIES:

  • Minimum of five (5) years of progressive Canadian payroll experience, with demonstrated expertise in multi-province payroll processing and CRA compliance.
  • Working knowledge of U.S. payroll practices, including federal payroll tax obligations (FICA, FUTA), state income tax withholding, and FLSA compliance.
  • Proficiency in ADP Workforce Now, including payroll processing, reporting, and system administration across multiple company codes.
  • Solid understanding of Canadian payroll legislation including the Canada Labour Code, Employment Insurance Act, Income Tax Act, and provincial employment standards across multiple jurisdictions.
  • Experience processing payroll for a multi-company or multi-entity organization.
  • Strong working knowledge of year-end payroll processes, including T4/T4A preparation and W-2 reconciliation.
  • Proficiency in Microsoft Excel and strong numerical and analytical skills.
  • Exceptional attention to detail, organizational skills, and the ability to manage competing priorities and meet strict payroll deadlines.
  • High level of discretion and professionalism in handling sensitive and confidential compensation information.
  • Experience with payroll for employees in Alberta, British Columbia, Ontario, and/or Quebec.
  • Experience supporting cross-border employee arrangements or expatriate payroll.

This role is conducted in an office environment requiring some or all the following:

  • Prolonged periods of sitting at a desk or workstation
  • Repetitive hand and arm movements
  • Occasional lifting up to 20lbs may be required
  • Frequent reaching, grasping, pushing or pulling, bending or twisting motions
  • Walking short distances and standing for meetings or other office activities
  • Required to wear and properly use personal protective equipment such as safety glasses, gloves, and lab coats as required by safety protocols
