Position Description
The Payroll Coordinator is responsible for supporting the accurate and timely processing of employee payroll while ensuring compliance with company policies, employment standards and tax legislation. This role maintains and updated payroll records in multiple systems, validate timesheets/absence management, processes payroll transactions, responds to internal/external inquiries, assists with payroll reporting, journal entries and ROEs.
Key Responsibilities
Payroll Processing
- Prepare, process, and verify payroll information including timesheets for hourly, salaried, and contract employees.
- Review and validate timesheets, attendance records, overtime, and employee pay adjustments.
- Process new hires, terminations, promotions, transfers, and salary changes.
- Ensure payroll is completed accurately and within established deadlines.
- Reconcile payroll discrepancies and investigate errors.
- Validate external forms and work permits.
- Able to handle large volumes of onboarding.
- Other duties and responsibilities that are customary to the role and title.
- Respond to employee inquiries regarding pay, deductions, benefits, vacation, and tax-related matters.
- Respond to Supervisors/Managers request for information.
- Diploma or bachelor’s degree in accounting, Finance, Human Resources, Business Administration, or a related field preferred.
- Payroll certification (National Payroll Institute PCP designation in Canada) is required or working towards completing.
- 2–5 years of payroll administration or payroll coordination experience.
- Experience with Payworks and ADP payroll software preferred or similar payroll systems.
- Experience processing payroll in a high-volume environment.
- Strong knowledge of payroll legislation, taxation, and employment standards.
- Intermediate to expert level in Microsoft Excel (Pivot tables and formulas a must), Word, and Payworks.
