We are seeking a highly organized, proactive, and dependable Remote Personal Assistant to provide administrative and operational support to company leadership. The ideal candidate is detail-oriented, resourceful, and capable of managing multiple priorities in a fast-paced remote environment.

Position Summary

The Remote Personal Assistant will be responsible for managing executive schedules, coordinating communications, organizing documents, handling administrative tasks, and supporting day-to-day business operations. This role requires excellent organizational skills, professionalism, discretion, and the ability to work independently.

Key Responsibilities

Executive Support

Manage executive calendars, appointments, and meeting schedules.

Coordinate virtual meetings and prepare agendas.

Screen and prioritize emails, phone calls, and correspondence.

Prepare reports, presentations, and business documents.

Maintain confidential records and sensitive information.

Administrative Support

Organize and maintain digital filing systems.

Perform accurate data entry and database management.

Draft professional emails, letters, and internal communications.

Track deadlines and ensure timely completion of assigned tasks.

Prepare expense reports and maintain administrative records.

Operations Support

Coordinate travel arrangements, accommodations, and itineraries when required.

Assist with vendor communications and procurement activities.

Monitor project timelines and provide follow-up on outstanding tasks.

Conduct online research and prepare summaries for management.

Assist multiple departments with administrative projects as needed.

Customer & Team Communication

Respond professionally to customer and vendor inquiries.

Route requests to the appropriate departments.

Maintain positive relationships with internal and external stakeholders.

Support remote collaboration through Microsoft Teams, Zoom, and other communication platforms.

Required Qualifications

High school diploma or equivalent (Associate's or Bachelor's degree preferred).

2+ years of experience as a Personal Assistant, Executive Assistant, Administrative Assistant, or similar role.

Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Experience using Google Workspace.

Excellent written and verbal communication skills.

Outstanding organizational and multitasking abilities.

Strong attention to detail and problem-solving skills.

Ability to work independently with minimal supervision.

High level of professionalism and confidentiality.

Preferred Qualifications

Experience supporting executives remotely.

Familiarity with CRM, ERP, or project management software (Asana, Monday.com, Trello, ClickUp, or similar).

Experience working within engineering, manufacturing, or technical organizations.

Knowledge of inventory, purchasing, or logistics processes.
