Role Overview

We are seeking a highly organized, detail-oriented, and proactive HR Coordinator to provide day-to-day support to a team of Senior Human Resources Business Partners. This role is ideal for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes pride in keeping processes, deadlines, and stakeholders on track. The successful candidate is dependable, collaborative, and service-oriented, with a strong ability to work behind the scenes to ensure HR operations run smoothly.

The HR Coordinator will play a key role in supporting core HR activities, including recruitment coordination, onboarding and orientation, HR reporting, presentation preparation, and administrative support for HR programs and initiatives. They will also leverage data and technology to improve reporting, support decision-making, and contribute to continuous process improvements.

Key Responsibilities

  • Provide administrative and coordination support to a team of Senior HR Business Partners, helping ensure priorities, deliverables, and deadlines are effectively managed while maintaining a high level of organization and follow-through.
  • Coordinate recruitment activities, including candidate communications, preparing documentation, scheduling interviews, and tracking hiring progress to deliver a positive candidate experience.
  • Support the onboarding and orientation process for new employees, ensuring a smooth and welcoming experience from offer acceptance through early employment.
  • Maintain accurate employee records, HR trackers, reports, and documentation with a high degree of accuracy and attention to detail.
  • Assist with HR data collection, analysis, and reporting to support workforce planning, hiring activity, onboarding progress, and other HR initiatives, leveraging AI-enabled tools (e.g., Microsoft Copilot) to improve data insights, reporting efficiency, and decision-making.
  • Create, update, and format PowerPoint presentations, briefing materials, dashboards, and reports for HR Business Partners, managers, and business stakeholders, presenting information in a clear and professional manner.
  • Monitor key dates, proactively follow up on outstanding actions, and help ensure HR processes continue to move forward efficiently and on schedule.
  • Respond to routine HR inquiries and foster clear, professional communication between HR, leaders, employees, candidates, and internal partners.
  • Contribute to continuous improvement by identifying opportunities to streamline HR processes, templates, reporting, and administrative practices.
  • Build collaborative relationships across the HR team and with internal stakeholders to support the successful delivery of HR initiatives.

Qualifications And Experience

  • Post-secondary education in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience.
  • Previous experience in an HR coordination, administrative, recruitment coordination, or related support role is preferred.
  • Strong organizational and time management skills, with the ability to effectively manage multiple priorities, adapt to changing demands, and consistently meet deadlines.
  • Excellent written and verbal communication skills, with a professional, collaborative, and customer-focused approach.
  • Strong attention to detail and a high degree of accuracy when working with employee information, documentation, and data.
  • Confidence using data to support reporting, identify trends, and contribute to informed business decisions.
  • Proficiency in Microsoft Excel, including the ability to organize data, maintain spreadsheets, and prepare reports or summaries.
  • Experience creating professional PowerPoint presentations and communicating information clearly to a variety of audiences.
  • Demonstrated ability to leverage AI-enabled tools (e.g., Microsoft Copilot) to improve productivity, analyze information, generate reports, and support business decision-making.
  • Ability to take initiative, work independently, and consistently follow through on commitments while managing competing priorities.
  • Comfortable handling confidential information with discretion, sound judgment, and professionalism.
  • Proven ability to build positive working relationships and collaborate effectively with HR team members and internal stakeholders.
