First Gulf is seeking a talented and experienced Development Coordinator to join our team in Toronto.
If you’re excited about real estate development and want to see how projects come together – from raw land through to shovels in the ground – this is a great place to do it. As our Development Coordinator, you’ll support the team across due diligence, planning approvals, and project delivery, gaining real exposure to every stage of the development lifecycle along the way.
And you won’t be doing it alone – you’ll work alongside municipal staff, consultants, and internal project teams to move initiatives from research and application through to approval and delivery. We’re looking for someone organized, detail-oriented, and proactive, and if you’re eager to grow your expertise in real estate development and municipal planning, we’ll help you get there.
Key Responsibilities
Project Due Diligence & Research
- Conduct research on zoning by-laws, Official Plans, and other applicable planning policies and regulations
- Analyze development potential and constraints for prospective and active sites
- Investigate surrounding land uses, development activity, and existing/planned infrastructure
- Monitor policy initiatives, regulatory changes, and market trends across key municipalities
- Research and track municipal approval processes, application requirements, and permitting timelines
- Coordinate and compile complete planning and development application packages
- Submit applications to municipalities (digitally or in person, as required)
- Track the status of active applications and proactively follow up with municipal staff and agencies
- Liaise with municipal staff, consultants, and internal stakeholders to support project progress
- Assist in coordinating consultant deliverables and submission requirements
- Support communication between project team members to ensure alignment and timely execution
- Maintain and update internal databases, including:
- Property and site information
- Development charges and municipal fee structures
- Application and permit fees across municipalities
- Compile reports, summaries, and tracking tools to support project decision-making
- Assist with tracking and recovery of project-related deposits and securities (e.g., letters of credit, municipal deposits)
- Support basic budget tracking and documentation related to project costs
- Maintain organized project files, records, and documentation
- Prepare meeting materials, coordinate schedules, and document meeting minutes
- Attend and participate in internal project meetings and, where required, public or municipal meetings
- Support overall project management activities including schedule tracking and coordination
- Assist with special projects and ad hoc assignments as required
- Post-secondary education in Urban Planning, Real Estate Development, Architecture, Engineering, Geography, or a related field
- 1–3 years of relevant experience in real estate development, planning, consulting, or a related industry (co-op or internship experience considered)
- Basic understanding of the development approvals process in Ontario, including zoning by-laws, Official Plans, and municipal permitting processes
- Familiarity with planning applications, consultant reports, and development submission packages
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with project management tools is an asset
- Strong research, analytical, and organizational skills with a high level of attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities in a fast-paced environment and meet deadlines
- Self-motivated with a proactive and solution-oriented mindset
- Combination of remote work, office work, and visits to active development sites and municipal offices
- Pay Range: $60,000 – $70,000
