Executive Assistant to CEO

Foundation Partners

Full time Posted: 6 hours ago Other

Hiring from: United States

Our client is a fast-growing AI technology company backed by leading venture capital funds. With $25m raised to date, they partner with some of the world's most complex enterprises and are scaling rapidly — growing their team and their US presence in New York.

The client is looking for an exceptional Executive Assistant to work directly with their Co-Founder CEO. This is a senior, high-trust role at the heart of the business — and a deliberate step up from a traditional EA hire.

The Role

This is a role for someone who wants to be close to the business, understand where it's going, and actively help it get there — not just keep the wheels turning.

The CEO operates across the US and internationally, building relationships with customers, investors, and partners. You will be a true force multiplier — bringing structure, judgement, and strategic thinking to everything from complex travel to GTM outreach planning.

You will work hand in hand with the CEO, anticipating what's needed before it's asked. The best version of this role looks less like an assistant and more like a trusted operator embedded at the center of the company.

Key Responsibilities

Executive Support & Time Leverage

  • End-to-end ownership of the CEO's calendar across multiple time zones, with a proactive approach to sequencing and prioritization
  • Managing communications, follow-ups, and coordination with discretion and sound judgement
  • Anticipating issues before they escalate and solving problems without being asked

Strategic Trip Planning & GTM Outreach

  • Build and maintain a forward travel calendar across the year — planned well in advance and tied to business objectives
  • For each trip, develop a prioritized meeting schedule: who we should be seeing, why, and what we want from each conversation
  • Own outreach to those contacts — drafting communications, following up, and ensuring the CEO arrives in every city with a full and purposeful agenda
  • Work closely with the GTM team to align travel with pipeline, customer relationships, and market priorities
  • Maintain a clear picture of our network and help identify the right moments to activate it

Briefings & Executive Preparation

  • Prepare concise, high-quality briefings before every significant meeting: background, context, objectives
  • Pull from internal updates, prior interactions, and external sources to ensure the CEO is always well-prepared
  • Support preparation of board materials, investor updates, and executive presentations as needed

C-Suite & External Engagement

  • Act as a primary point of contact with senior executives, customers, investors, and partners
  • Liaise confidently with external stakeholders, representing the CEO with professionalism and discretion
  • Support relationship-building moments, events, and high-stakes engagements

Operations & Enablement

  • Coordinate leadership reporting, weekly updates, and executive cadences
  • Support planning for offsites, all-hands, and key company moments
  • Handle expenses, receipts, and administrative tasks without needing to be chased

Ways of Working

  • Actively look for ways to automate and streamline — using AI tools, building lightweight systems, and replacing manual processes where possible
  • We're a technology company; we expect this role to operate with the same mindset

Personal Logistics (as needed)

  • Occasional support with personal arrangements that remove friction from the CEO's time and focus

What We're Looking For

This is a role for someone who has already operated at a high level and is looking for more, not less, responsibility.

You Will Likely Have

  • Significant experience supporting a CEO or C-suite executive, ideally in a high-growth or venture-backed environment (although this is not required)
  • A track record of managing complex travel and external stakeholder relationships
  • Experience with outreach — comfortable drafting communications on behalf of a senior leader and owning the follow-through
  • Exceptional written and verbal communication skills, and the confidence to engage directly with senior external contacts in person, by phone and email
  • Exceptional organisational ability and meticulous attention to detail

You Are Someone Who

  • Is genuinely curious about the business and motivated by its success
  • Exercises excellent judgement and knows when to act independently
  • Brings calm and clarity to fast-moving, ambiguous environments
  • Measures their impact by what the CEO was able to do because of them — not by what tasks were completed
  • Looks for smarter ways to work, not just harder ones

Working Style & Expectations

This is not a 24/7 role, but some flexibility is required during key travel periods or time-sensitive moments. You will be trusted with real responsibility, visibility, and autonomy from day one.

Success is measured by leverage created — not hours logged.

There may occasionally be the option to travel with the CEO on high pressure travel commitments. This will never be mandatory, and flexible working is prioritised.

The role requires in-office presence in New York City three days per week. Two days per week are WFH, although the office is always available if preferred.

Compensation

  • Competitive senior base salary
  • Performance-based bonus
  • Full benefits package
  • Specific compensation details will be shared with shortlisted candidates.

By submitting your application, you provide consent for Foundation Partners to process your personal data and share your CV directly with the client for this specific engagement.

A People team built for ambitious businesses

The old model for People & Talent doesn’t work for today's businesses. We've built a better one.

Traditionally, early-stage Founders had two options: handle People & Talent themselves, losing precious time they should be spending on product or go-to-market, or hire a generalist, expected to cover everything from culture to recruitment to performance. We offer a more impactful alternative: A fully flexible, fractional People & Talent team with specialist skillsets and hands-on delivery, ready to start driving impact for your business in weeks, not months.
