Our client is looking for an experienced Executive Assistant to support senior leadership within a fast-paced financial services environment. This role is ideal for a highly organized, detail-oriented individual who can manage shifting priorities, handle sensitive information with discretion, and keep executive operations running smoothly. The position requires strong judgment, effective communication, and the ability to work independently while coordinating with stakeholders across the business.

Responsibilities: • Oversee a demanding executive calendar, aligning meetings, travel, and events across multiple schedules and time zones. • Anticipate leadership needs by identifying potential scheduling or operational conflicts early and resolving them with minimal direction. • Prepare, refine, and review correspondence, presentations, and other written materials to ensure accuracy, consistency, and a high standard of quality. • Arrange travel logistics, meeting details, and conference plans while maintaining clear and timely communication with all participants. • Support senior management with special projects by coordinating timelines, gathering information, and following through on deliverables. • Attend meetings as needed to capture notes, summarize key points, and share relevant updates with stakeholders. • Assist with administrative activities such as performance review coordination, cost center support, and other departmental tasks. • Submit and track time entry records, address payroll-related timekeeping questions, and provide guidance on related processes when needed. • Maintain organized records and official documentation, ensuring files are current, accessible, and properly managed.
• At least 5 years of executive administrative support experience, preferably supporting senior-level leadership in either detail oriented or financial services REQUIRED. • Strong background in calendar management, executive meeting coordination, and domestic or international travel planning. • Excellent written and verbal communication skills with a high level of professionalism and sound business etiquette. • Bachelor's Degree rREQUIRED. • Proficiency with Microsoft Office Suite and other standard business software applications. • Solid organizational and problem-solving skills, including the ability to handle sensitive matters with discretion. • Experience in the insurance industry or broader financial services sector is strongly preferred. • Some college coursework in business, accounting, marketing, or a related field is preferred.
