Virtual Assistant (Work from Home)

We are currently seeking a Virtual Assistant to join our Administrative Support team. This is a full-time, work-from-home position offering an excellent opportunity to support company leadership and various departments through administrative, organizational, and communication tasks. The successful candidate will help ensure daily business operations run efficiently by managing schedules, coordinating meetings, maintaining records, and providing professional administrative support in a remote environment.
Key Responsibilities
Provide daily administrative support to managers and department teams.
Manage calendars, schedule meetings, appointments, and conference calls.
Coordinate virtual meetings using Microsoft Teams, Zoom, and other collaboration platforms.
Respond to emails, messages, and general inquiries in a professional and timely manner.
Prepare reports, presentations, spreadsheets, and business documents.
Maintain accurate electronic records, files, and company documentation.
Perform data entry while ensuring accuracy and confidentiality.
Coordinate travel arrangements, hotel reservations, and business itineraries when required.
Assist with preparing meeting agendas, taking meeting notes, and distributing minutes.
Monitor office supplies, software subscriptions, and administrative requests.
Process expense reports, invoices, and purchase requests as assigned.
Communicate with employees, vendors, customers, and external partners professionally.
Support onboarding activities by preparing documents and coordinating new employee schedules.
Assist with project coordination and follow up on assigned tasks.
Maintain confidential company and employee information.
Perform internet research and compile information for management as requested.
Organize digital filing systems and maintain document version control.
Identify opportunities to improve administrative processes and workflow efficiency.
Complete additional administrative duties and special projects as assigned.
Required Qualifications
High school diploma or equivalent required. Associate's or Bachelor's degree in Business Administration, Office Administration, Communications, or a related field is preferred.
Previous experience as a Virtual Assistant, Administrative Assistant, Executive Assistant, Office Coordinator, Customer Support Representative, or similar administrative role is preferred.
Excellent verbal and written communication skills.
Strong organizational and time management abilities.
Ability to manage multiple priorities and meet deadlines with minimal supervision.
High level of attention to detail and accuracy.
Proficiency with Microsoft Office 365, including Word, Excel, Outlook, PowerPoint, Teams, and OneDrive.
Experience using Google Workspace, Adobe Acrobat, and cloud-based collaboration tools is an advantage.
Comfortable learning new software and business applications.
Ability to maintain strict confidentiality and professionalism.
Strong problem-solving and decision-making skills.
Reliable high-speed internet connection and a dedicated home office.
Ability to work independently while collaborating effectively with remote teams.
Preferred Qualifications
Experience supporting executives or senior management.
Experience using project management software such as Asana, Monday.com, Trello, ClickUp, or Microsoft Planner.
Knowledge of document management systems and electronic recordkeeping.
Experience coordinating remote teams and virtual meetings.
Experience working in transportation, logistics, or supply chain environments is considered an asset.
Work Environment
This is a full-time remote position. Employees are expected to maintain a professional home office with reliable high-speed internet and a quiet workspace suitable for handling confidential business information.
Standard work hours are Monday through Friday. Occasional overtime or schedule flexibility may be required to support business needs, special projects, or company events.
