Overview:

The People and Culture (P&C) Administrator supports the day-to-day operations of the P&C function within a mission-driven, non-profit organization. This role ensures efficient HR processes, accurate administration, and a positive employee experience while upholding the organization's values and commitment to community impact.

We are currently recruiting for 1 Full-time role. This is a replacement position within the organization.

Responsibilities:

HR Administration

  • Maintain accurate and up-to-date employee records, files and HR databases
  • Conduct monthly/ quarterly audits of systems
  • Complete HR documents such as employment letters and maintain organization of employee files
  • Assist with filing, data entry and general administrative tasks
  • Support completion of Board Reports and other reporting requirements
  • Organize and maintain P&C SharePoint site and data
  • Generate timely and accurate administrative reports and statistics for management, capturing key indicators of the health, impact and sustainability of the organization's workforce
  • Maintain accurate data and filing of visa and expense logs for Chief People & Culture Officer and Director

Payroll & Benefits Support

  • Support the P&C Specialist with audits and reporting
  • Conduct monthly VSC and Back Check audits

Employee Support & Experience

  • Serve as a first point of contact for general HR inquiries
  • Provide guidance on HR policies and procedures
  • Support employee engagement initiatives and organizational events, including EDI events
  • Contribute to a positive, inclusive, and values-driven workplace culture

Compliance & Reporting

  • Ensure HR practices align with employment legislation and organizational policies
  • Maintain confidentiality and proper documentation standards
  • Assist with audits, reporting requirements, and grant-related HR documentation
  • Support health & safety tracking and reporting where applicable
  • Support with minute-taking for Joint Health & Safety Committee

HR Systems & Operations

  • Maintain HRIS and ensure data accuracy
  • Generate basic HR reports (headcount, turnover, etc).
  • Support process improvements and administrative efficiencies

Qualifications:

Education And Experience

  • Post-secondary diploma or degree with 2-3 years of experience as an HR Administrator or a related area
  • Strong Aptitude in database usage
  • Proficiency in Microsoft Office Suite including intermediate Excel proficiency and HRIS systems; experience with Payworks an asset
  • Excellent communication, time management and administration skills
  • Ability to maintain confidentiality and handle sensitive information
  • Self- motivated and able to work independently and as part of a team
  • Excellent verbal and written communication skills
