Overview:
The People and Culture (P&C) Administrator supports the day-to-day operations of the P&C function within a mission-driven, non-profit organization. This role ensures efficient HR processes, accurate administration, and a positive employee experience while upholding the organization's values and commitment to community impact.
We are currently recruiting for 1 Full-time role. This is a replacement position within the organization.
Responsibilities:
HR Administration
- Maintain accurate and up-to-date employee records, files and HR databases
- Conduct monthly/ quarterly audits of systems
- Complete HR documents such as employment letters and maintain organization of employee files
- Assist with filing, data entry and general administrative tasks
- Support completion of Board Reports and other reporting requirements
- Organize and maintain P&C SharePoint site and data
- Generate timely and accurate administrative reports and statistics for management, capturing key indicators of the health, impact and sustainability of the organization's workforce
- Maintain accurate data and filing of visa and expense logs for Chief People & Culture Officer and Director
- Support the P&C Specialist with audits and reporting
- Conduct monthly VSC and Back Check audits
- Serve as a first point of contact for general HR inquiries
- Provide guidance on HR policies and procedures
- Support employee engagement initiatives and organizational events, including EDI events
- Contribute to a positive, inclusive, and values-driven workplace culture
- Ensure HR practices align with employment legislation and organizational policies
- Maintain confidentiality and proper documentation standards
- Assist with audits, reporting requirements, and grant-related HR documentation
- Support health & safety tracking and reporting where applicable
- Support with minute-taking for Joint Health & Safety Committee
- Maintain HRIS and ensure data accuracy
- Generate basic HR reports (headcount, turnover, etc).
- Support process improvements and administrative efficiencies
Education And Experience
- Post-secondary diploma or degree with 2-3 years of experience as an HR Administrator or a related area
- Strong Aptitude in database usage
- Proficiency in Microsoft Office Suite including intermediate Excel proficiency and HRIS systems; experience with Payworks an asset
- Excellent communication, time management and administration skills
- Ability to maintain confidentiality and handle sensitive information
- Self- motivated and able to work independently and as part of a team
- Excellent verbal and written communication skills
