Job Description

We’re looking for a Referral Transcriptionist, someone who’s ready to grow with our company. In this position, you will transcribe referrals from external providers by retrieving physician referral orders from an electronic system and entering customer data and referral details into the electronic medical record (EMR).

Job Duties & Responsibilities

Transcribes referrals (and all associated work activities) that are received from external providers sending patients to specialties in the hospital’s EMR.

Determine the appropriate referred-to department specialty and reason for referral when referral is received via fax or digital interoperability exchanges when referral is submitted on any form other than the hospitals published referral forms.

Follows organizational policy for patient identification in EMR to avoid duplication of patient records. Checks for existing medical records using approved patient look up methods. If no medical record exists, employee will register the patient and create a medical record. Assures that all demographic information (ie: patient name, patient date of birth, patient contact information) is complete and accurate.

Accurately identifies the appropriate referring provider and associated referring provider for demographic details. Submits and signs orders into EMR utilizing correct referring provider selections.

Determines if provider SER record requires creation or update for proper signing privileges in EMR and follows departmental processes to resolve.

Properly documents notes on the referral within the mechanism of receipt (Epic, Rightfax, Redcap, etc.) per departmental guidelines when referral is unable to be processed immediately.

Follow up on any unresolved or pending referral documents in a timely manner and in alignment with departmental guidelines.

Makes outbound calls to referring providers offices with queries in relation to processing their referrals in a timely, efficient, and professional manner and when needed, send referral back to referring provider’s office when making an outbound call to obtain missing information.

Provides referral instructions, information, and advice to referring provider customers, as needed.

Determines if referral is unable to be process due to submittal from provider type without signing privileges and properly communicate this information to the sender with instructions on next steps for having referral submitted by appropriate provider type.

Alerts team leader of any issues/concerns that require escalation for completion, or which may indicate a larger underlying issue.

Maintains and develops a strong level of organizational/departmental knowledge and keeps up to date with any new processes or procedures assigned to a particular department assignment.

Attends and satisfactorily participate in daily departmental touch base meetings and/or processes aimed at ensuring departmental service level standards are achieved.

Attends meetings to discuss overall performance with department leadership along with staff meetings and other department meetings as requested.

Complies with all security requirements identified under HIPAA/PHI and as outlined in Texas Children’s policies.

Individually reviews all assigned referral order(s) and accurately selects/transcribes all order information into the appropriate order fields in EMR.

Develops and maintains a strong working knowledge of all existing and new processes associated with successfully collecting patient referral information submitted within the Epic interface error work queues.

Develops a strong working knowledge of all existing and new referral intake platforms utilized by hospitals (ie: Care Everywhere Referral Messaging, Care Everywhere Referral Management, other digital interoperability exchanges, etc.).

Maintains consistent understanding of departmental service level standards and processing guidelines as evidenced by performing activities in alignment with departmental guidelines and leadership directives.

Skills & Requirements

H.S. Diploma or GED required

Associate's degree preferred

2 years Data entry, clerical, customer service, healthcare coding, healthcare administration, business, or clinical healthcare experience

Experience in a medical office or hospital environment
