Job Summary

Our client is seeking an Executive Assistant / Operations Manager to join their team! This position is located in Washington, DC and follows a hybrid work schedule.


Core Responsibilities

  • Provide high-level administrative support to executive leadership and the broader team
  • Manage calendars, meeting coordination, travel arrangements, itineraries, and office operations
  • Develop, manage, and track departmental budgets, expenses, invoices, and financial reporting activities
  • Serve as the primary liaison with accounting, procurement, vendors, building management, and internal stakeholders
  • Prepare expense reports, intercompany billing requests, budget analyses, and monthly financial reviews
  • Coordinate onboarding logistics, office events, meetings, guest visits, and executive communications
  • Support process improvement initiatives while ensuring compliance with financial controls, policies, and audit requirements

Required Skills/Experience (Must-Haves)

  • Bachelor’s degree in Business Administration, Finance, Human Resources, Marketing, or a related field, or equivalent experience
  • 10+ years of experience supporting senior executives in an Executive Assistant, Operations Manager, Chief of Staff Support, or Office Manager capacity
  • Strong accounting, budgeting, invoice processing, expense reporting, and financial reconciliation experience
  • Experience managing executive calendars, complex travel arrangements, meetings, and stakeholder communications
  • Advanced proficiency with Microsoft Office, including Excel, PowerPoint, Word, and Outlook
  • Experience interacting with senior leadership, executives, and external stakeholders in a highly professional environment
  • Strong organizational skills with the ability to manage multiple priorities and confidential information

Preferred Skills/Experience (Nice-to-Haves)

  • Experience supporting Government Relations, Public Affairs, Legal, or Executive Leadership teams
  • Experience with procurement processes, purchase requisitions, and vendor management
  • Experience preparing budget forecasts, P&L reviews, and variance analyses
  • Experience managing office operations and facilities coordination
  • Professional Assistant Certificate of Excellence or similar certification
  • Experience with onboarding coordination and employee support activities
  • Experience supporting audit, compliance, or financial control processes

Work Environment

  • Location: Washington, DC
  • Hybrid – onsite Tuesday, Wednesday, and Thursday from 10:00 AM to 4:00 PM, with remote work Monday and Friday. Additional onsite presence may be required based on business needs.

Compensation & Benefits

  • Pay Range: The approximate pay range for this position is between $28.00 and $40.00. Please note that the pay range provided is a good faith estimate. Final compensation may vary based on factors including but not limited to background, knowledge, skills, and location. We comply with local wage minimums.
